About the Job
You will provide high-level administrative and operational support to the Managing Director, ensuring seamless office operations, efficient scheduling, and effective communication. The role acts as the MDs representative when required, manages travel and logistics, coordinates tasks and deadlines, and ensures the MDs priorities are executed efficiently.
Principal Duties/Responsibilities
Executive Support & Office Management
- Act as the first point of contact for the MD, managing calls, emails, and correspondence.
Represent the MD in internal and external meetings when required.
- Maintain organized records of meetings, decisions, and key communications.

Prepare briefing notes, presentations, and reports for meetings.
Calendar & Task Management
- Manage the MDs schedule, including meetings, appointments, and deadlines.

Send reminders and follow-ups for pending tasks and commitments.
- Prioritize conflicting appointments and ensure time is allocated efficiently.
- Coordinate and schedule meetings with internal teams, clients, and stakeholders.
Travel & Logistics Management
- Plan, book, and manage business travel, including flights, accommodation, and local transportation.
- Prepare travel itineraries and ensure all logistics are well-coordinated.
- Manage visa applications, permits, and other travel-related documentation as needed.
Communication & Stakeholder Management
- Serve as a liaison between the MD and internal/external stakeholders.
- Draft and review correspondence, memos, and emails on behalf of the MD.
- Maintain confidentiality and handle sensitive information with discretion.
Project & Task Coordination

rack ongoing projects and tasks for the MD, providing regular updates on progress. - Collaborate with teams to ensure timely completion of deliverables.
- Assist in preparing reports, budgets, and presentations for executive decision-making.
Technology & Systems Management
- Leverage digital tools and platforms to manage calendars, tasks, emails, and documentation efficiently.
- Implement digital filing systems, cloud storage, and productivity tools for streamlined operations.
- Ensure seamless use of collaboration tools and software to support MDs office.
Job Requirements
- Bachelors degree in Business Administration, Management, Real Estate, or related discipline.
- Additional certifications in Office Management, Executive Assistance, or Project Coordination are an advantage.
- Minimum of 3 years experience as an Executive Assistant preferably in real estate, construction, or high-level corporate environments.
- Proven experience managing executive calendars, travel, and stakeholder communications.
- Experience representing senior executives in meetings and correspondence.
- Strong understanding of office administration, executive support, and corporate communication.
- Knowledge of real estate and construction industry practices is an advantage.
- Familiarity with task and project management tools (e.g., Trello, Asana, Microsoft Teams, Google Workspace).
- Excellent organizational, time management, and multitasking skills.
- Strong verbal and written communication skills.
- Tech-savvy with proficiency in Microsoft Office Suite, Google Workspace, and digital collaboration tools.
- High level of discretion, integrity, and professionalism.
