Job Summary

The Executive Assistant to the Pastor provides high-level administrative, organizational, and spiritual support to the Senior Pastor. This role ensures the smooth coordination of pastoral duties, church operations, and ministry activities while maintaining confidentiality, professionalism, and alignment with the church's mission and values.

Key Responsibilities

1. Administrative Support

  • Manage the Pastor's calendar, appointments, and scheduling of meetings.
  • Coordinate travel arrangements, itineraries, and speaking engagements.
  • Prepare correspondence, reports, presentations, and sermon-related materials.
  • Handle incoming calls, emails, and requests on behalf of the Pastor.

2. Ministry & Church Coordination

  • Liaise with ministry leaders, staff, and external partners.
  • Assist in planning church services, events, conferences, and special programs.
  • Track and follow up on ministry projects and assignments.
  • Support communication between the Pastor and congregation members.

3. Confidential & Pastoral Support

  • Handle sensitive information with discretion and confidentiality.
  • Assist in organizing counseling schedules and pastoral care appointments.
  • Maintain records related to church activities and leadership meetings.

4. Meeting & Event Management

  • Schedule and coordinate leadership and departmental meetings.
  • Prepare agendas, take minutes, and track action items.
  • Ensure timely follow-up on decisions and deliverables.

5. Communication & Representation

  • Draft announcements, memos, and official communication on behalf of the Pastor.
  • Represent the Pastor in meetings when required.
  • Ensure alignment of communication with church vision and values.

Qualifications & Requirements

  • Bachelor's degree in Administration, Management, Theology, or related field (preferred).
  • Proven experience as an Executive Assistant or in a similar administrative role.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • High level of integrity, discretion, and professionalism.
  • Proficiency in Microsoft Office / Google Workspace tools.
  • Ability to multitask and work under pressure in a ministry environment.
  • Strong interpersonal and relationship management skills.
