Overview

A detail-oriented and highly organized Office Manager is required to support all operational, marketing, and client-service functions within a business brokerage firm. This role ensures seamless workflow between buyers, sellers, brokers, and external partners while maintaining strict confidentiality and delivering professional communication, marketing support, and administrative oversight.

Key Responsibilities

Maintain strict confidentiality regarding all client information, financial documents, business valuations, and deal negotiations.

Prepare and send direct mail campaigns to targeted business owners and conduct outreach/cold calls to potential sellers.

Maintain detailed records of potential sellers and buyers, including activity logs, interest levels, and follow-up dates.

Manage daily email inbox and phone call follow-ups, ensuring timely and professional responses.

Create flyers and marketing materials for new listings; update listings on syndicated business-for-sale websites.

Maintain and update company website content and manage social media presence.

Support the broker with administrative tasks, document organization, digital filing, and general workflow coordination.

Qualifications & Skills

Strong understanding of business brokerage processes, confidentiality standards, and client communication protocols.

Excellent organizational skills with the ability to manage multiple listings, projects, and follow-ups simultaneously.

Professional verbal, written, and digital communication skills; comfortable conducting outreach calls.

Proficient in Word, Excel, Gmail, spreadsheets, email platforms, and digital filing systems used for tracking buyer/seller activity.

Ability to create clear, attractive marketing materials (advanced design skills not required).

Internet-savvy, capable of managing social media platforms and updating online listings.

High attention to detail, accuracy, and consistency in all administrative and marketing tasks.

Flexible, adaptable, and able to support a fast-paced brokerage environment with shifting priorities.
