US Insurance Administrative Assistant (US Hours)

About the Role
We are seeking a detail-oriented and reliable Insurance Administrative Assistant to support our U.S.-based insurance operations during U.S. business hours (which correspond to 4:00 PM12:00 AM SAST). You will play a pivotal role in ensuring smooth administrative workflow, efficient client support, and accurate policy/claims handling.
Key Responsibilities
Receive, review and log incoming insurance inquiries via phone, email and online forms.
Assist in policy servicing: generate quotes, prepare documentation, process endorsements and renewals.
Support claims administration: log claims, liaise with clients and carriers, track the process until resolution.
Maintain and update client and policy data in the management system with high accuracy.
Produce and distribute policy documents, invoices, statements and correspondence.
Coordinate with brokers, underwriters and carriers to gather required documentation and respond to requests.
Provide friendly and professional client support during U.S. business hours, responding to queries and guiding clients through processes.
Monitor inbound/outbound communications and escalate to senior team members when necessary.
Generate routine reports and metrics (e.g., number of policies processed, claims logged) to support management insight.
Assist in continuous process improvement: identify bottlenecks, propose enhancements and help implement them.
Experience & Skills
Proven experience (1-3 years) in insurance administration or related support role (U.S. insurance experience is a strong plus).
Good understanding of insurance terminology, policy lifecycle and claims workflow.
Excellent organizational and multitasking skills, with ability to manage time effectively within defined shift.
Strong written and verbal communication skills in English; capable of engaging with U.S. clients and stakeholders.
Proficiency in MS Office (especially Excel and Word) and comfortable learning insurance software/CRM systems.
High attention to detail and accuracy; ability to maintain data integrity and confidentiality.
Self-motivated, reliable and able to work independently in a remote setting.
Comfortable working the evening slot (4 PM-12 AM SAST) to align with U.S. time zones.
Education
Minimum: High School Diploma or equivalent.
Bachelors degree in business administration, insurance, finance or related field is preferred, but not mandatory.
