QuickBooks Administrator

We are seeking a dynamic and detail-oriented QuickBooks Administrator to join our team. The ideal candidate will excel in client communications, possess the skills to navigate through challenging situations with upset clients, and demonstrate proficiency in Bookkeeping and Administration.

Responsibilities:

  • Communicate effectively with clients, addressing inquiries and concerns professionally.
  • Handle upset clients with empathy and provide satisfactory resolutions to their issues.
  • Manage the quoting and invoicing process, ensuring accuracy and timeliness.
  • Create and maintain spreadsheets using Google Sheets/Excel for various purposes, including budgeting, forecasting, and data analysis.
  • Assist with payroll processing and related tasks as needed.
  • Organize tasks and prioritize workload to meet tight deadlines efficiently.
  • Transaction sheets (credit card entries to sheets, reconciling and balancing personal and business expenses)
  • Expense sheets
  • Invoicing
  • Creating checks
  • Accounts receivable
  • Accounts payable
  • Age analysis and complete follow up twice a week
  • Time sheets
  • Debt collection
  • Management of +- 10 companies' emails
  • Asana experience
  • QuickBooks online

Requirements:

  • Proven experience in client communications and conflict resolution.
  • Proficiency in Google Sheets/Excel, with the ability to create and manage various types of spreadsheets.
  • Familiarity with budgeting and forecasting processes.
  • Experience in payroll processing and related software.
  • Strong organizational skills with the ability to prioritize tasks effectively.
  • Ability to work under pressure and meet tight deadlines.
  • Experience with QuickBooks Online (QBO).
  • Familiarity with Asana.
  • Proficiency in Excel/Google Sheets, including formula usage.
  • Fast internet
  • Fast computer (two screens required)
  • Multi-tasking skills
  • Fast paced mindset, dealing with lots of companies at once.
  • Experienced working in a fast-paced work environment
  • Very detail oriented
