Leasing Administrator (US Client)
Location: Remote
Hours: 3:00 PM – 11:00 PM (South Africa Time)

About the Company

Our client is a fast-growing co-living and furnished rental company operating across New York City. The business manages hundreds of residential units with a strong focus on technology, operational efficiency, and delivering a high-quality customer experience. They are seeking a detail-oriented Leasing Administrator to support leasing operations, CRM workflows, and data integrity across systems.

Applicants must have proven experience in leasing operations, CRM systems, and data management.

Key Responsibilities

  • Create, manage, and track lease agreements, renewals, and addendums using Zoho CRM and PandaDoc
  • Monitor the full lease lifecycle from issuance through to execution, ensuring timely completion of documentation and e-signatures
  • Maintain accurate tenant, unit, and deal records across all systems; perform regular data audits and quality checks
  • Manage inbound communications via leasing email, responding to tenant and applicant queries in a professional and timely manner
  • Oversee onboarding of new units, including uploading floor plans, managing 3D scans, and updating listings and URLs across platforms
  • Coordinate move-in readiness, including payment verification, tenant portal setup, roommate introductions, and Latch access management
  • Prepare internal reporting including occupancy tracking, churn and retention analysis, and Buildium reconciliations/audits
  • Maintain and continuously clean internal databases; update lease templates and workflows as required

Required Skills & Experience

  • Advanced proficiency in Excel / Google Sheets (including pivot tables, formulas, and data cleaning)
  • Strong experience with CRM systems (Zoho preferred), Buildium, and PandaDoc
  • Excellent attention to detail and strong organisational skills
  • Strong written and verbal communication skills
  • Ability to manage multiple workflows in a fast-paced operational environment
  • Prior experience in leasing, property management, or real estate operations (strongly preferred)
