Position Overview

As an Assistant Project Manager, you will support all phases of HVAC construction projects to ensure standards, budgets, schedules, and communications are maintained. You will also manage safety compliance and contribute to fostering a strong culture of safety.

Key Responsibilities

Document Control

  • Review, organize, and distribute contract documents (drawings, specifications, schedules, RFIs, construction bulletins, shop drawings/submittals).
  • Log and track all document-related activities.
  • Draft, submit, and track RFIs and responses.
  • Attend coordination meetings and distribute meeting notes.
  • Assist with project-specific quality control programs and documentation.
  • Maintain progress and as-built drawings.
  • Support project closeout documentation, including O&M manuals, startup reports, training, and punch lists.

Scope of Work Support

  • Track and report changes to the original scope of work.

Procurement Support

  • Maintain equipment procurement logs.
  • Manage and track tool/equipment rentals.
  • Coordinate orders and shipping schedules.

Safety Compliance

  • Perform site walkthroughs and inspections.
  • Ensure compliance with site-specific safety plans, audits, toolbox talks, and pre-task planning.
  • Utilize industry safety tools effectively.

Estimation

  • Coordinate with suppliers/vendors for project estimates.
  • Perform basic estimating using estimating software.
  • Participate in pre-bid, project turnover, and preplanning meetings.
  • Assist in developing scope letters/proposals.

Job Costing & Labor Tracking

  • Support project manager and field foreman in tracking labor productivity using accounting software.

What Were Looking For

Must-Have

  • 2+ years of knowledge/experience in the building & construction industry.
  • Strong understanding of mechanical systems.
  • Ability to read and comprehend construction documents.

Nice-to-Have

  • Bachelors degree in Mechanical Engineering, Construction, or related field.
  • Strong interpersonal and communication skills.
  • Knowledge of design techniques, tools, and principles.
