Job Summary The Admin Assistant / Cashier is responsible for providing efficient administrative and cash management support to the Futura Centro Condominium Corporation. The position ensures accurate processing of collections, timely submission of financial reports, proper documentation and records management, and effective coordination with internal teams, service providers, and residents.Duties and Responsibilities
Duties and Responsibilities
A. Financial and Cashiering Functions
- Receive, verify, and accurately process homeowners’ payments, including cash, checks, online payments, and post‑dated checks (PDCs).
- Issue Official Receipts (OR), Acknowledgement Receipts (AR), and Provisional Receipts (PR) within prescribed turnaround time (same day or within 24 hours upon receipt of proof of payment).
- Prepare and submit Daily Collection Reports (DCRs) completely and on time, ensuring accuracy and proper attachments.
- Maintain updated monitoring of PDCs to ensure timely deposit and avoid stale checks.
- Ensure proper handling, safekeeping, and monitoring of accountable forms and official receipts.
- Endorse completed job orders, violation tickets, and amenity rental documents to the Billings team within required timelines.
- Assist in the on‑time processing of Request for Payment (RFP), ensuring complete documentation to avoid penalties or service interruptions.
B. Administrative and Records Management
- Maintain complete, accurate, and well‑organized filing of administrative, financial, and operational records.
- Upload and manage documents in the centralized OneDrive system in compliance with document control and audit requirements.
- Assist in the preparation and monitoring of contracts, including tracking expiry dates and providing timely reminders to concerned internal stakeholders.
- Monitor office supplies, tools, and materials; maintain inventory records to ensure zero unaccounted or missing supplies.
- Support Internal Audit, Area Manager (AM), and Operations Head (OH) visits by ensuring availability and completeness of required documents.
- Assist in closing out audit, AM, and OH findings within prescribed turnaround times.
C. Operational and Coordination Support
- Coordinate closely with the Property Management Office, Billings, Accounting, Collection Agents, and other internal units for day‑to‑day administrative and financial concerns.
- Assist in monitoring collection efficiency activities, including coordination with billers and collection agents when required.
- Support the implementation of property management systems and automation initiatives by ensuring data readiness and timely updates.
- Provide administrative assistance for condo corp operational requirements as directed by the Property Manager.
D. Customer Service and Resident Engagement
- Provide courteous, timely, and professional assistance to homeowners and residents regarding billing, payments, and administrative concerns.
- Assist in addressing routine inquiries and coordinating service requests to help meet service resolution turnaround targets.
- Support resident communication and engagement activities, including documentation for community events and surveys, as needed.
- Maintain a customer‑centric approach aligned with the condominium’s service standards to help achieve target resident satisfaction ratings.
E. Compliance, Controls, and Continuous Improvement
- Ensure compliance with company policies, internal controls, audit requirements, and applicable procedures related to cash handling and administration.
- Participate in required trainings and learning activities, completing assigned learning hours aligned with Talent Management targets.
- Perform other administrative and cashiering duties that may be assigned by the Property Manager or immediate supervisor in support of condo corp operations.
