Job Summary

Department Admin Assistant

Duties and Responsibilities

1. Administrative Support for the Digital COE

Manage scheduling, coordination, and documentation for:
Weekly Digital team meetings
Cross-functional digital alignment sessions
Vendor meetings
Campaign planning reviews
Reporting cycles
Maintain calendars, trackers, and shared documentation.
Assist with budget tracking, PRs, SOWs, and invoice monitoring in coordination with Procurement.

2. Asset Management & Content Library Maintenance

Maintain a structured digital asset library including:
Creatives
Photos
Videos
Brand materials
Campaign files
Ensure correct naming conventions, metadata, and versioning.

Organize folders for:
Paid media creatives
Organic content
SEO assets
CRM assets
Landing page resources
Coordinate asset delivery to BUs and vendors as needed.

3. Campaign Coordination & Support

Assist the Performance Marketing team in:
Preparing campaign briefs
Compiling creative assets
Checking landing page readiness
Coordinating with content creators
Ensure campaigns follow governance checklists before launch (tracking, naming conventions, UTM, creative compliance).
Maintain campaign status trackers and submit updates to BU stakeholders.

4. Social Media & Content Support

Support the Social Media Manager by:
Uploading content drafts for review
Preparing monthly content calendars
Tagging and organizing raw assets
Scheduling approved posts (if assigned)
Assist in community monitoring during peak periods.

5. Website, SEO & Tech Coordination Support

Support SEO/Web Manager by:
Preparing updated content and images for upload
Documenting site changes
Running routine link checks and reporting issues

Support Tech Platform Manager with:
Tracking and tagging documentation
CMS update coordination
Basic QA checks
Logging bugs or enhancement requests

6. Reporting & Documentation

Consolidate digital reports for:
Paid media
CRM
Social media
SEO and web analytics
Prepare dashboards and weekly summaries based on team submissions.
Maintain audit trails and documentation for governance and compliance.

7. Vendor Coordination & Logistics

Support the management of external vendors:
Creatives
Web developers
Martech providers
Production teams
Coordinate requirements, timelines, asset submissions, and feedback cycles.
Ensure vendors follow admin rules, security guidelines, and compliance requirements.

Education, Trainings and Licenses Required

Bachelor’s degree in Marketing or Business or Communications or Multimedia or related fields, 1–3 years experience in Administrative work or Digital operations or Marketing coordination or Project coordination, Familiarity with digital marketing and content workflows preferred, Proficiency in Google Workspace and Microsoft Office and file management systems, Basic understanding of digital tools (e.g. Meta Business Suite or CMS platforms) is a plus
