Financial Planner

 Job Description:

Our client is a fee-only Registered Investment Advisor and multi-family office. The Financial Planner is a client-facing role that partners closely with the Lead Advisor to deliver a seamless, high-touch planning experience across investments, financial planning, estate, retirement, and tax coordination. The ideal candidate is a Certified Financial Planner (CFP®) who is detail-oriented, proactive, and comfortable owning the follow-up process from start to finish. This is a fully remote position open to candidates anywhere in the United States.

REQUIRED SYSTEMS & TECHNICAL PROFICIENCY

Candidates should be familiar with and able to work confidently in the firm's core platforms. Direct, hands-on experience with the following is expected:

  • iRebal (Schwab) — portfolio rebalancing and trade generation.
  • Black Diamond — trading, performance reporting, and quarterly billing review.
  • Wealthbox CRM — client records, task management, and workflow tracking.

Additional systems used in the role include Right Capital (financial planning) and the Charles Schwab Advisor Center. Familiarity with these is a strong plus.

DAY-TO-DAY / ONGOING RESPONSIBILITIES

  • Field client questions and conduct proactive outreach for follow-up until outstanding items are resolved.
  • Maintain client details in Wealthbox CRM and other software systems.
  • Help onboard new clients and households, including systems updates and paperwork.
  • Manage the estate planning process from beginning to end, and keep tax files current.
  • Coordinate calls with clients and insurance companies to request in-force illustrations, and obtain 401(k) information to facilitate rollovers.

TRADING RESPONSIBILITIES

  • Master the trading process and serve as backup to the primary trader through Black Diamond.
  • Identify trades, build the trade blotter, review trades for accuracy, execute, and document trades.
  • Assist with asset allocation reviews.
  • Maintain the margin management spreadsheet.
  • Learn and master iRebal at Schwab.

PLANNING-RELATED RESPONSIBILITIES

  • Complete data collection and request additional documents in advance of annual review meetings.
  • Enter financial details into planning software (Right Capital).
  • Fact-check and present financial plans to clients over Zoom.
  • Document follow-up items clearly in Wealthbox CRM.
  • Prepare recommendations and present them to the client using the Recommendations Template.
  • Update recommendations and action items following meetings.
  • Complete specific planning spreadsheets as assigned — real estate, home affordability, and health insurance analyses.
  • Prepare a full financial plan and recommendations to send to clients after the annual planning meeting.
  • Prepare the Lead Advisor for in-person meetings and field follow-up.
  • Own the follow-up process to get clients to complete all to-do items.

ESTATE PLANNING RESPONSIBILITIES

  • Schedule time with clients to create, update, and review their estate plans.
  • Process documents and arrange notary.
  • Complete the process and file originally executed documents in the client file.

RETIREMENT PLAN RESPONSIBILITIES

  • Assist with beginning-of-year retirement plan data requests and request year-end projections through the TPA.
  • Communicate with tax and the TPA once retirement plans are funded.
  • Process required minimum distributions (RMDs).
  • Act as liaison between the client, TPA, and tax preparer.

TAX PLANNING RESPONSIBILITIES

  • Assist with year-end tax planning — requesting reports, retirement plan estimates, and tax strategy.
  • Prepare tax projections using tax tools.
  • Handle tax document collection.
  • Support Business Management during high-volume tax prep seasons (March/April and September/October).
  • Experience with tax preparation is a bonus but not required.

PROJECT-BASED RESPONSIBILITIES

  • Lead planning-related tasks that have specific timeframes for completion.
  • Update the Periodic Table of Investment Returns and prepare market updates for clients and prospects.
  • Conduct beneficiary and estate reviews.
  • Conduct insurance reviews.

QUALIFICATIONS

  • Certified Financial Planner (CFP®) designation.
  • Experience at a fee-only Registered Investment Advisor (RIA).
  • Hands-on experience with iRebal, Black Diamond, and Wealthbox CRM.
  • Experience with Charles Schwab Advisor Center and Right Capital financial planning software.
  • Strong analytical, organizational, and problem-solving skills with excellent attention to detail.
  • Outstanding communication and interpersonal skills; able to represent the brand with clients.
  • Ability to work effectively and independently in a fully remote environment.
