The Fleet Administration Associate is responsible for the accurate, compliant, and efficient management of the company’s delivery trucks. The role manages end-to-end fleet administration processes, including registration, permits, renewals, licensing, disposal, and annual compliance reporting, while ensuring regulatory compliance, complete documentation, and smooth operational continuity to support business operations.
- Handles end-to-end processing of fleet regulatory requirements, including franchise applications (new and renewal) with LTFRB, Provisional Authority (PA) applications and renewals, vehicle
registration renewals with LTO, and renewal of authorization for non-issuance of Yellow Plate units. - Acts as the primary point of contact with external regulatory agencies (LTFRB, LTO) for compliance-related inquiries and clarifications.
- Handles request, issuance, adjustment, and replacement of fleet cards, and performs reconciliation of fleet card records in coordination with Operations and Finance to ensure accuracy, completeness, and compliance.
- Coordinates and executes the end-to-end vehicle disposal process for identified units, ensuring compliance with company policies and complete documentation, approvals, execution, and reporting.
- Ensures proper distribution, documentation, and safekeeping of approved permits, registrations, and franchise-related documents to concerned branches.
To succeed and grow in this role, you will be required to meet the following qualifications:
- Bachelor’s degree in Business Administration, Logistics, Transport
Management, or related field - Knowledge of fleet registration, franchising, licensing, fleet card management, and compliance
- Strong documentation, filing, and record-keeping skills
- Experience in fleet administration, logistics, or transport compliance is preferred
