Job Overview

Monmouthshire County Council is seeking 2 Business Support Assistants to provide high-quality administrative and business support to integrated Social Care and Health teams.

This role will support frontline teams with systems, case management processes, finance administration, correspondence, minute taking, record keeping, data validation, customer contact and general office support.

The successful candidate will be reliable, organised and confident using digital systems, with strong Microsoft Office 365 skills and an understanding of GDPR and data security within a Social Care setting. The role profile confirms the post supports Social Care and Health teams with administration, systems, finance processes, customer communication and performance data.

This role requires strong business support / administrative experience, ideally within Social Care, Health, local authority or a busy public sector team.

You must be confident using Microsoft Office 365, including Word, Excel, OneDrive and SharePoint, and understand the importance of GDPR, confidentiality and data security when handling Social Care information.

Candidates without relevant admin, system support, data handling or business support experience are unlikely to be considered.

Key Responsibilities

  • Provide business support to Social Care and Health teams
  • Support colleagues using corporate and service-specific digital systems
  • Carry out day-to-day routines within the case management system
  • Support colleagues to create records and plans in relevant systems
  • Complete systems administration, including new users, duplicate records and troubleshooting
  • Enter correspondence into the case recording system
  • Validate data and support accurate record keeping
  • Support financial processes in line with correct guidelines
  • Record changes to care packages, including hospital admissions, discharges and closures
  • Support finance queries with care providers and finance colleagues
  • Prepare correspondence, letters, emails and mail merges
  • Carry out photocopying, scanning, printing and filing
  • Take minutes at team meetings and MDT meetings
  • Manage paper and electronic files and records
  • Arrange room bookings
  • Handle incoming calls, take messages and manage follow-up actions
  • Monitor email inboxes and respond to enquiries
  • Support visitors accessing onsite resources and facilities
  • Maintain staff training records
  • Support new starter induction packs and system training
  • Support staff with annual leave, sickness, online training and expenses processes
  • Support performance data input and data capture processes

Essential Experience & Skills

  • Experience working in a busy team environment
  • Experience supporting colleagues to work effectively
  • Experience using Microsoft Office 365, including Word, Excel, OneDrive and SharePoint Online
  • Good understanding of GDPR and data security
  • Ability to handle confidential information appropriately
  • Ability to problem solve and work without constant supervision
  • Familiarity with the needs of Social Care and Health Services
  • Good verbal and written communication skills
  • Strong organisational and administrative skills
  • Ability to manage records accurately
  • Ability to work flexibly and adapt to service needs
  • Positive attitude and willingness to support frontline teams
  • Understanding of multi-professional and multi-agency working

Desirable

  • Welsh language skills
  • Previous experience working within a Social Care or Health business support team
  • Experience using a case management system

Additional Information

This role requires a Standard DBS check.
