Project Coordinator (Guest Experience & Marketing)

Four Squared Solutions is seeking a Project Coordinator (Guest Experience & Marketing) for an opportunity located in South Florida.

Seeking a dynamic and detail-oriented individual to lead the planning, logistics, and execution of onboard guest programming. This role blends operations, hospitality, and guest experience, requiring a creative and analytical thinker who can manage multiple projects while maintaining a high level of detail and coordination.

Project Coordination & programming

• Lead the pre-planning and execution of guest chef and enrichment lecturer programming.
• Coordinate logistics with Hotel Operations, Corporate Chef, and Purchasing to ensure all materials and collateral are submitted to the travel division on time prior to departure.
• Manage multiple projects concurrently while meeting all deadlines and deliverables.
• Maintain organized records of talent content, contracts, and programming plans.
• Assist with other projects and tasks as assigned.

Talent & Guest Experience Coordination

• Partner with guest talent to develop and elevate the onboard experience.
• Communicate expectations to guest chefs and lecturers; secure required materials (bios, headshots, recipes, presentations).
• Submit procurement needs for onboard presentations in a timely manner
• Coordinate expense reimbursements and travel bookings in partnership with the Guest Operations team.

Content & Collateral Management

• Ensure all internal and onboard marketing materials are current and delivered in advance.
• Develop and execute programming content and travel planning memos with clarity and accuracy.
• Proofread and edit marketing content to uphold quality standards.

Collaboration & Communication

• Work cross-functionally with internal teams to support onboard operations and marketing efforts.
• Build strong relationships with external guest talent and internal stakeholders to enhance the overall product offering.

Qualifications

• Bachelors degree in Marketing, Communications, or a related field.
• Project Coordinator 2 + years
• 4+ years of experience in marketing communications, preferably within travel or hospitality.
• Proven ability to manage complex projects with strong organizational skills.
• Excellent written and verbal communication; strong proofreading and editing ability.
• Team-oriented with the ability to collaborate effectively across departments.
• Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel).
• Experience with digital marketing tools is a plus.

Preferred

• Prior experience in the travel industry.
• Familiarity with guest enrichment and onboard experience programs.
