Product Manager (Volunteer Management System)

Role Overview

We are looking for a Product Manager to lead the evaluation, implementation, and optimisation of a Volunteer Management System (VMS) to support volunteer engagement across public-facing platforms. In this role, you will work closely with stakeholders, vendors, and technical teams to deliver a scalable, user-centric system that improves volunteer coordination, operational efficiency, and user experience across the organisation.

Responsibilities

  • Lead the evaluation and selection of off-the-shelf Volunteer Management System (VMS) solutions aligned to organisational needs
  • Translate business requirements into clear product specifications, including volunteer workflows, scheduling, and data management
  • Drive implementation and configuration of VMS features such as opportunity management, shift scheduling, and volunteer onboarding
  • Collaborate with stakeholders and vendors to ensure timely delivery, system integration, and quality outcomes
  • Ensure system usability, accessibility, and performance, including search, discovery, and user experience optimisation
  • Implement communication workflows such as automated confirmations, reminders, and engagement notifications
  • Manage data integration, reporting capabilities, and volunteer database design to support operational insights and decision-making

Requirements

  • At least 3–6 years of experience in Product Management, Business Analysis, or digital solution delivery
  • Experience implementing or managing enterprise systems, SaaS platforms, or CRM/engagement systems
  • Experience working in public sector, non-profit, or community engagement platforms is advantageous
  • Familiarity with off-the-shelf platforms (e.g. CRM, CMS, volunteer or event management systems)
  • Understanding of system integration, data migration, and API-based solutions
  • Experience with user journey design, workflow configuration, and system customisation
  • Knowledge of web platforms, analytics, and reporting tools
  • Strong stakeholder management and communication skills
  • Ability to translate operational needs into scalable digital solutions
  • Strong problem-solving and analytical thinking
  • Ability to manage multiple workstreams and priorities effectively
  • Collaborative mindset with experience working across business, technical, and vendor teams

Good To Have

  • Experience implementing volunteer management, community platforms, or engagement systems
  • Familiarity with government digital platforms or public-facing services
  • Experience with user engagement features such as rewards, feedback, or community interaction tools
