Product Manager (Volunteer Management System)
Role Overview
We are looking for a Product Manager to lead the evaluation, implementation, and optimisation of a Volunteer Management System (VMS) to support volunteer engagement across public-facing platforms. In this role, you will work closely with stakeholders, vendors, and technical teams to deliver a scalable, user-centric system that improves volunteer coordination, operational efficiency, and user experience across the organisation.
Responsibilities
- Lead the evaluation and selection of off-the-shelf Volunteer Management System (VMS) solutions aligned to organisational needs
- Translate business requirements into clear product specifications, including volunteer workflows, scheduling, and data management
- Drive implementation and configuration of VMS features such as opportunity management, shift scheduling, and volunteer onboarding
- Collaborate with stakeholders and vendors to ensure timely delivery, system integration, and quality outcomes
- Ensure system usability, accessibility, and performance, including search, discovery, and user experience optimisation
- Implement communication workflows such as automated confirmations, reminders, and engagement notifications
- Manage data integration, reporting capabilities, and volunteer database design to support operational insights and decision-making
Requirements
- At least 3–6 years of experience in Product Management, Business Analysis, or digital solution delivery
- Experience implementing or managing enterprise systems, SaaS platforms, or CRM/engagement systems
- Experience working in public sector, non-profit, or community engagement platforms is advantageous
- Familiarity with off-the-shelf platforms (e.g. CRM, CMS, volunteer or event management systems)
- Understanding of system integration, data migration, and API-based solutions
- Experience with user journey design, workflow configuration, and system customisation
- Knowledge of web platforms, analytics, and reporting tools
- Strong stakeholder management and communication skills
- Ability to translate operational needs into scalable digital solutions
- Strong problem-solving and analytical thinking
- Ability to manage multiple workstreams and priorities effectively
- Collaborative mindset with experience working across business, technical, and vendor teams
Good To Have
- Experience implementing volunteer management, community platforms, or engagement systems
- Familiarity with government digital platforms or public-facing services
- Experience with user engagement features such as rewards, feedback, or community interaction tools
