We are seeking a dedicated Office Administrator to oversee and coordinate all administrative functions within the company. This role will play a crucial part in supporting various departments, including Sales & Marketing, Operations, HR, Finance, and regulatory compliance, ensuring the seamless operation of the organization. Responsibilities

    • Ensure efficient office management, overseeing operational efficiency, communications, and strategic planning.
    • Warmly greet visitors and promptly handle phone calls, providing a welcoming atmosphere.
    • Prepare meeting agendas and distribute minutes to support efficient communication.
    • Uphold the company's mission, vision, and core values.
    • Manage mail and office stationary storage, ensuring availability of supplies.
    • Book conference and meeting rooms, maintain petty cash and; handle prepaid accounts while maintaining accurate transaction records.
    • Serve as the main point of contact between the company, staff, and office building management, providing information and addressing inquiries.
    • Act as the designated health and safety representative, ensuring a safe and tidy office environment.
    • Maintain accurate records, implement a filing system, and compile reports.
    • Follow and improve existing processes and procedures, while assisting with other duties as needed to maintain a professional and presentable office space.
    • Coordinate internal and external meetings.
    • Organize and manage paperwork and computer-based information.
    • Assist with staff travel and accommodation arrangements.
    • Handle import and export arrangements for the company.
    • Collect all payroll information from the line managers/supervisors/employees and transmit to the payroll office.

Requirements

    • Grade 12 or Diploma / Certification in Office Administration or relevant
    • >3 yrs in Office Administration or other Clerical position
    • Valid Code 8 Drivers License
    • Experience in Filing & Data Management , Minute Taking and Logistics Management
    • An understanding of the departmental  needs is a must
    • Familiarity with office management procedures and basic accounting principles
    • Excellent verbal and written communication skills.
    • Excellent organizational skills and attention to detail.
    • Excellent time management skills with a proven ability to meet deadlines.
    • Strong supervisory and leadership skills.
    • Ability to prioritize tasks and to delegate them when appropriate.
    • Ability to function well in a high-paced and at times stressful environment.
    • Basic understanding of how to operate standard business equipment.
    • Proficient with Microsoft Office Suite or related software.
