Position: Admin Assistant
Location: Westlands, Nairobi
Reports To: Senior Manager
Salary: 25,000 – 30,000

We are seeking to recruit a highly organised, well-spoken, presentable, and proactive Admin Assistant to provide direct day-to-day administrative support to Senior Management while ensuring the smooth and professional running of the office.

This is a fast-paced and hands-on role suited for a mature individual who can manage schedules, handle correspondence, coordinate office activities, respond to enquiries, maintain petty cash records, and ensure high standards of office organisation at all times.

The successful candidate must be detail-oriented, able to work under tight deadlines, take initiative without constant supervision, and maintain professionalism in a demanding work environment.

Key Responsibilities

  • Manage and coordinate the Senior Manager's daily schedule, meetings, appointments, reminders, and follow-ups.
  • Prepare letters, reports, emails, memos, and other office correspondence accurately and within set timelines.
  • Receive and professionally handle phone calls, visitors, and incoming enquiries.
  • Respond promptly to internal and external communication and ensure matters are directed appropriately.
  • Maintain proper filing systems, office records, and confidential documentation.
  • Manage petty cash disbursement, reconciliation, and accountability.
  • Coordinate office supplies, service providers, errands, and general office support requirements.
  • Ensure the office environment remains clean, organised, presentable, and running efficiently at all times.
  • Follow up on pending tasks and ensure management instructions are executed promptly.
  • Provide dependable day-to-day administrative and coordination support to Senior Management.

Required Qualifications & Experience

  • Diploma or Degree in Business Administration, Office Management, Secretarial Studies, or related field.
  • Minimum 3 years' experience in a busy administrative support role.
  • Prior experience supporting senior management or handling front office administration will be an added advantage.
  • Strong computer proficiency in MS Office, email correspondence, and document preparation.
  • Experience managing petty cash and office records.
