About the Embassy

The Embassy of Sweden in Nairobi represents Sweden in Kenya, Somalia, Seychelles, and Comoros, as well as to UNEP and UN-Habitat. The Embassy advances Swedish policies, interests, and values in bilateral and regional political relations, development cooperation, trade and investment promotion, and cultural and public diplomacy. It also provides consular services to Swedish nationals and migration services to non-nationals. The working language at the Embassy is English.

About the Migration Section

The Migration Section is responsible for receiving and verifying applications for visas, residence permits, and work permits, making decisions in visa cases, conducting interviews, handling inquiries via phone and email, and performing archiving and administrative tasks. The section currently handles applications from 24 countries within its regional mandate.

The Embassy is seeking to recruit a highly motivated and responsible Migration Assistant. The role requires the ability to work independently, take initiative, manage fluctuating workloads, and remain effective under pressure. Strong teamwork and communication skills are essential, as the role involves close cooperation with all members of the Migration Section.

Main Responsibilities

  • Receive, register, and process applications for visas, residence permits, and work permits.
  • Conduct interviews with applicants for residence permit cases.
  • Respond to inquiries from applicants and stakeholders by telephone and email.
  • Perform filing, archiving, and general administrative tasks.
  • Carry out any additional duties assigned by the Head of Section.

Essential Qualifications and Experience

  • A university degree in a relevant field such as law, political science, international relations, or another related discipline.
  • At least two years of relevant work experience in areas such as legal services, fraud prevention, migration services (visas/residence permits), or other closely related fields. (Experience should be from within the last three years.)
  • Excellent written and spoken communication skills in English.
  • Additional language skills, particularly French and/or African languages, will be an added advantage.

Desirable Experience

  • Previous experience working in migration-related roles at embassies, consulates, government authorities, or other institutions handling migration, legal, or regulatory matters.

Salary and Employment Terms

  • Salary will be negotiated with final candidates based on qualifications and experience.
  • Employment terms follow the conditions applicable to locally engaged staff at the Embassy of Sweden.
  • This is a one-year contract, with the possibility of extension.
  • The employment will begin with a minimum one-month probation period.

Important:

  • If you are not a Kenyan citizen, you must attach a copy of your valid Kenyan work and residence permit.
  • All candidates must have legal eligibility to live and work in Kenya or demonstrate the ability to obtain the required permit.
  • The successful candidate will be fully responsible for:
    • Obtaining the relevant work/residence permits,
    • Paying any related fees,
    • Covering relocation arrangements and costs.
  • The Embassy of Sweden does not sponsor or arrange visas or work permits.
