What’s the purpose of the role?

The Business Development Coordinator supports the Business Development Team by managing day-to-day client communication, organizing incoming requests, and translating approved priorities into clear internal tasks and workflows. This role is responsible for keeping projects moving accurately and efficiently from client request through internal handoff, implementation, and final review. This is not a strategy-development role. Instead, this person serves as a highly organized client and internal liaison who helps ensure client needs are understood, documented clearly, routed properly through ClickUp, and reviewed for completeness and accuracy before being considered done. The ideal candidate is service-minded, detail-oriented, calm under pressure, and highly comfortable working within structured systems and defined processes. They should be confident communicating with clients by email and on calls, while also being precise and dependable in task follow-through.


What will I be doing?

  • Client Communication & Account Support: 
    • Serve as a day-to-day point of contact for client questions, updates, follow-ups, and routine requests
    • Support Business Development Managers by maintaining responsive, professional communication through email and scheduled calls
    • Listen carefully to client needs, clarify open items, and ensure requests are documented accurately
    • Help clients understand timelines, next steps, and status updates based on approved internal plans
    • Escalate strategic questions, scope shifts, or higher-level decision points to the Business Development Managers as needed
  • Project Intake & Workflow 
    • Translate client requests and approved next steps into clear, actionable tasks in ClickUp
    • Build organized task details including scope, deadlines, supporting notes, links, and dependencies
    • Ensure requests are fully scoped before handoff so the implementation team has the information needed to execute accurately
    • Maintain status tracking and follow-through across multiple accounts and deliverables
    • Keep project information current, organized, and easy for internal teams to reference
  • Cross-Functional Coordination
    • Partner with the Project Manager and implementation team to support smooth handoff and execution
    • Help ensure the right team members are looped into the right projects at the right time
    • Track outstanding needs, approvals, revisions, and pending deliverables
    • Flag risks, delays, missing information, or inconsistencies early so issues can be resolved before they affect timelines
    • Support workflow consistency across accounts by following established processes and helping identify gaps in execution
  • Accuracy Review & Quality Control
    • Review completed work before final delivery to confirm it aligns with the original request, task details, and client expectations
    • Check that work is complete, accurate, properly linked, and ready for internal or client-facing review
    • Identify missing pieces, inconsistencies, or items requiring correction before sign-off
    • Help uphold a high standard of accuracy, thoroughness, and professionalism across all deliverables
  • Platform & Industry Support
    • Work within Shopify, Klaviyo, Canva, and ClickUp as part of daily coordination and review responsibilities 
    • Maintain familiarity with beauty industry workflows, timelines, campaign needs, and client expectations
    • Understand the difference between strategic direction and executional follow-through, and operate effectively within that structure

  • Business Development Managers are freed up to focus on strategy, growth, and higher-level client leadership

What experience do I need to succeed?

  • 2–4 years of experience in account coordination, client services, project coordination, marketing operations, or a similar support role
  • Strong written and verbal communication skills with a professional, polished, client-facing presence
  • Strong organizational skills with the ability to manage multiple projects, deadlines, and follow-ups at once
  • Experience using project management software such as ClickUp or similar systems
  • Working familiarity with Shopify, Klaviyo, Canva, and digital marketing workflows
  • Strong attention to detail and ability to review work for completeness and accuracy
  • Ability to follow process, maintain documentation, and keep moving pieces organized in a fast-paced environment
  • Ability to balance responsiveness, accuracy, and professionalism under changing priorities
  • Experience supporting client accounts in an agency, service-based, or brand environment
  • Beauty industry experience strongly preferred
  • Experience coordinating website updates, email campaigns, campaign assets, or e-commerce support workflows 
  • Comfort working across multiple stakeholders while maintaining clear communication and strong follow-through
