We are currently recruiting, on behalf of our client, a Document Controller to support project documentation and information management activities in Angola.
Position Summary
The Document Controller will be responsible for managing, organizing, controlling, and maintaining project documentation to ensure accuracy, confidentiality, compliance, and timely distribution of information throughout the project lifecycle. The successful candidate will support project teams by implementing effective document control procedures and ensuring all technical and administrative documentation is properly recorded and archived.
Key Responsibilities
- Manage the receipt, registration, distribution, filing, tracking, and archiving of project documentation.
- Maintain document control systems in accordance with company policies and project requirements.
- Ensure all documents are accurately numbered, classified, and stored.
- Monitor document revisions and maintain version control.
- Coordinate the timely distribution of technical documents, drawings, reports, procedures, and correspondence.
- Maintain document registers and tracking logs.
- Ensure confidentiality and security of sensitive project documentation.
- Liaise with engineering teams, project managers, contractors, and clients regarding document submissions.
- Perform quality checks on documentation before distribution.
- Support audits by ensuring documentation is complete, accurate, and readily accessible.
- Prepare regular document control reports and status updates.
- Archive completed project documentation according to company retention policies.
- Assist project teams in maintaining compliance with document management procedures.
Minimum Requirements
- Bachelor's Degree or National Diploma in Business Administration, Information Management, Records Management, Office Administration, Engineering, or a related field.
- Minimum 3–5 years of experience as a Document Controller in the Oil & Gas, Engineering, Construction, Mining, or Industrial sectors.
- Proven experience managing large volumes of technical documentation.
- Strong understanding of document control principles and quality management systems.
- Experience with Electronic Document Management Systems (EDMS).
- Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Excellent organizational and time management skills.
- High attention to detail and accuracy.
- Strong communication and interpersonal skills.
- Ability to work under pressure and manage multiple priorities.
Preferred Qualifications
Candidates with experience in one or more of the following document management systems will have a distinct advantage:
- Aconex
- SharePoint
- Procore
- OpenText
- Documentum
- SAP Document Management System (DMS)
- Microsoft SharePoint Online
- Autodesk Construction Cloud
- TeamBinder
Knowledge of ISO 9001 Quality Management Systems and document control best practices will be considered an added advantage.
