About the job Human Resources Associate

The HR Associate will be responsible for providing daily administrative support in the implementation of projects that directly align with the GIINs mission and HR goals/objectives.

Through the daily activities of the role, the HR Associate will support GIINs HR team to ensure smoother HR operations and will carry out related activities directly related to HR policies, processes, and procedures.

The HR Associate will support the HR function by participating in the implementation of global HR initiatives. This role will primarily focus on supporting payroll, recruitment, onboarding and offboarding activities. The HR Associate will act as the first-line, go-to person for employee inquiries about policies, resources, and programs, independently resolving requests and escalating issues to the Director as needed.

In conjunction with the Director, HR, act as liaison for staff and vendors answering benefit questions, payroll questions, handling other issues that arise.

Recruitment Support

  • Responsible for the job announcements process by posting vacant positions on the GIIN website and recommended external job boards.
  • Regularly maintain recruitment tracker(s) to ensure we have reliable data on status of open roles.
  • Manage Manatal, the GIINs current Applicant Tracking System ATS and support managers in the use of the system.
  • Support the hiring process, including communicating with candidates and hiring managers and recruiters, as needed.
  • Manage the employment background screening process with GIINs third-party background screening vendor, and troubleshoot any issues that may arise to ensure a timely, seamless hiring process for hiring managers and candidates.

Onboarding

  • Lead employee onboarding duties, including preparing new hire documents, verification of employment authorization through E-Verify and other compliance methods, coordinate with the Operations Team and Roundtable Technology, ensuring IT setup.
  • Maintain engagement with prospective new hires by communicating periodically with them prior to their start date.
  • Coordinate timely and accurate onboarding of new employees with IT team.
  • Ensure proper verification of employment authorization utilizing E-Verify and confirming the authenticity of documentation provided by new hires.
  • Ensure proper registration of new hires on Insperitys HRIS platform.
  • Ensure all new hire compliance requirements are met.
  • Walk new hires through benefits enrollment, time and attendance set up, etc.

Performance Management Support

  • Properly coordinate all administrative aspects of the year-round performance management activities:
  • Ensure all review cycles are administered in a timely and efficient manner.
  • Manage all routine communications with all internal stakeholders, as appropriate and in a timely manner.
  • Be HRs point person to provide technical and administrative support to all GIIN staff in the use of our performance management site.

General Administrative Duties

  • Own all administrative aspects of the HR function, including drafting routine communications, generating HR reports to help deliver key data insights for strategic decision-making.
  • Provide ongoing support to HR and Finance on employee timekeeping and payroll matters.
  • Assist employee with coordination of employment verifications.
  • Maintain organized HR and I-9 digital files.
  • Respond to first-level HR-related inquiries from employees and direct more complex HR matters to the Director, HR
  • Proactively suggest process improvement to enhance the efficiency of HR admin processes, including creating and maintaining an HR dashboard to track important HR KPIs.

  • Proficient use of computer software applications, such as Microsoft Word, Excel, Outlook, and PowerPoint.

Education and Experience:

  • Associates degree required; Bachelors degree preferred, (business or human resources management or related field is a plus) with 1-3 years work experience in an office setting, demonstrating exceptional administrative, organizational abilities.
  • Experience supporting an HR department is highly desired but not required.
