We are seeking a highly organized and detail-oriented Marketing & Communications Assistant to provide administrative, content, design, and marketing support to the Marketing & Communications team. This role is ideal for someone who enjoys working across marketing platforms, social media, email marketing, website content management, and digital asset coordination in a fast-paced remote environment.

Qualifications

Required Skills & Experience

  • Strong written English communication skills
  • Excellent attention to detail and organizational skills
  • Experience using Canva for content and graphic creation
  • Experience preparing and scheduling social media content
  • Experience using HubSpot or a similar email marketing platform
  • Experience using WordPress or a similar CMS for content updates
  • Experience managing Zoom meetings, webinars, or virtual events
  • Proficiency in Microsoft Office and Google Workspace
  • Strong spreadsheet, file management, and document formatting skills
  • Ability to follow SOPs, templates, checklists, and brand guidelines
  • Ability to work with Australian spelling and business communication standards
  • Strong communication skills with the ability to ask questions and clarify instructions when needed
  • Willing to work in a hybrid set up once a month onsite and morning shift

Key Responsibilities

Marketing Administration & Workflow Support

  • Maintain marketing trackers, content calendars, task lists, and working documents
  • Organize files, folders, and documentation while ensuring version control
  • Monitor deadlines, outstanding tasks, and workflow progress

Social Media & Content Support

  • Prepare and schedule approved social media content
  • Upload captions, graphics, videos, and links into scheduling platforms
  • Maintain content records and escalate engagement requiring review

Canva Design & Creative Support

  • Create and update Canva graphics using approved templates and brand assets
  • Resize creative assets for social media, email marketing, websites, and events
  • Maintain organized creative asset libraries and version control

Email Marketing & HubSpot Administration

  • Build and prepare email communications using approved templates and content
  • Conduct quality checks on links, formatting, layouts, and recipient lists
  • Assist with email reporting and template maintenance

Website & Digital Content Management

  • Perform basic WordPress content updates
  • Upload documents, resources, images, and approved website content
  • Update landing pages and review pages for formatting or content issues

Webinar & Event Support

  • Set up Zoom meetings and webinars
  • Manage registrations, reminders, attendance tracking, and session recordings
  • Prepare post-event resources and reports

Reporting & Data Support

  • Pull and update email, social media, website, and campaign performance data
  • Maintain reporting templates, charts, and tracking spreadsheets
  • Identify and flag unusual performance trends or data issues
