Qualifications

Technical Skills:

1. Facilities Management:

Experience with office space management and coordinating maintenance services.

2. Procurement:

Skilled in ordering supplies, managing inventories, and handling vendor contracts.

3. Compliance:

Familiar with ISO standards and office safety protocols.

4. Budgeting:

Knowledge of managing budgets for office supplies and maintenance.

Key Responsibilities

Inventory & Supplies

  • Monitor and manage office and pantry supplies
  • Dispose of obsolete or damaged equipment as directed

New Hire Onboarding

  • Prepare meeting rooms and photoshoot equipment for new employees

Client & Employee Support

  • Assist with employee engagement activities
  • Welcome and assist visiting clients
  • Respond to employee queries and concerns

Office & Facility Management

  • Coordinate with vendors for maintenance (pest control, aircon, plumbing, etc.)
  • Ensure workstations are fully equipped for onsite work
  • Maintain office cleanliness, safety, and orderliness
  • Coordinate with building security and monitor CCTV/biometrics
  • Secure necessary gate passes and permits
  • Ensure compliance with building regulations

Administrative Support

  • Scan, file, and maintain administrative documents (bills, contracts, invoices, permits, etc.)

Compliance & Government Liaison

  • Coordinate with departments and government offices for permits and certifications
  • Ensure compliance with occupational health and safety standards

Information Security (ISMS)

  • Adhere to company policies, Code of Conduct, and ISO 27001:2022 standards
  • Follow SLA guidelines and ISMS procedures
  • Maintain confidentiality, access controls, and physical security of company asset
