Responsibilities:

  • Responsible for auditing HRIS and HR data ensuring information is up to date and accurate. This includes but is not limited to employee census data, I9 information, and compliance posters.
  • Create and distribute annual benefit compliance notices within required timelines.
  • Assist with tracking employee policy sign offs ensuring all are obtained. This includes but is not limited to new hire policies, annual sexual harassment training, and annual handbook distribution.
  • Responsible for onboarding all new hires that start with the firm. This includes maintaining onboarding spreadsheet and ordering business cards.
  • Assist in communicating large group new hire orientation information while following up with those who have not responded to new hire tasks.
  • Maintain general employee information and manage employee filing systems. This may include uploading new hire headshots into the firms HRIS, moving files of terminated employees etc.
  • Assists in the maintenance of the employee handbook, editing policies upon approved changes.
  • Create HR related intranet content and post to appropriate recipient lists.
  • Prepare anniversary letters and issue to appropriate parties.
  • May assist with preparation of human resource reports such as staff listings, feedback reports etc.
  • Prepare required paperwork specific to an employees exit from the firm.
  • Performs other related duties as assigned.


Qualifications:

  • Bachelor's degree in Human Resources, Psychology, Business Administration, or a related field
  • At least 2 years of experience as an HR Specialist/Coordinator/ HR Admin.
  • Excellent organizational skills and attention to detail.
  • Extensive knowledge of office management systems and procedures.
  • Ability to operate general office equipment.
  • Excellent written and verbal communication skills.
  • Ability to type 60 words a minute.
  • Proficient in Microsoft Office Suite or similar software.
  • Ability to maintain confidential information.
