About the Position

We are seeking an Executive Assistant to support our client's executive leadership team. In this role, you will provide high-level administrative, organizational, and strategic support, helping leaders manage complex schedules, shifting priorities, and sensitive information with confidence and discretion. You'll act as a trusted partner to the executives, enabling them to focus on strategic objectives while contributing to a collaborative, fast-paced, and high-performing environment.

Key Responsibilities

Executive Support

  • Manage executive calendars, scheduling meetings, travel, and appointments
  • Serve as a primary point of contact between executives and internal/external stakeholders
  • Prepare agendas, presentations, reports, and briefing materials
  • Anticipate executive needs and proactively address priorities

Communication & Coordination

  • Draft and edit correspondence, emails, and internal communications
  • Coordinate meetings, board sessions, and executive events
  • Track action items and follow up on deliverables

Administrative & Operational Support

  • Maintain confidential records, files, and documentation
  • Process expense reports, invoices, and reimbursements
  • Support special projects and cross-functional initiatives
  • Assist with onboarding senior leadership or board members

Information & Time Management

  • Prioritize and manage competing requests
  • Filter and respond to inquiries on behalf of executives
  • Maintain accurate records and systems

Qualifications

  • Bachelors degree in Business Administration or a related field
  • Minimum of 3 years experience as an Executive Assistant or in a similar senior administrative role
  • Exceptional organizational and time-management skills with strong attention to detail
  • High level of professionalism, discretion, and confidentiality
  • Excellent written and verbal communication skills
  • Ability to work independently and manage competing priorities in a fast-paced environment
  • Proficient in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint
  • Experience managing executive calendars and virtual meetings using Outlook, Zoom, Microsoft Teams, or Google Meet
  • Familiarity with document management tools such as OneDrive, Dropbox, and online travel booking platforms
  • Exposure to ERP, CRM, or internal administrative systems is a plus
