Bilingual Medical Virtual Assistant -
Receptionist
Endocrinology Clinic | Remote | Part-Time | 30 Hours/Week | $6.5/hour
We are looking for a Bilingual Medical Virtual Assistant / Receptionist to support a growing endocrinology clinic that serves both English- and Spanish-speaking patients.
This role is ideal for someone who is confident in a fast-paced medical environment and enjoys being a reliable support partner to both the provider and the clinic team. You will play an important role in helping the clinic stay organized, responsive, and clinically prepared throughout the day.
The position combines live scribing, chart preparation, prior authorization support, patient coordination, phone support, and backup administrative coverage. The clinic already has an established workflow, so we are looking for someone who can quickly integrate into the team, follow systems well, and provide dependable support with accuracy and professionalism.
What You'll Do
Provide live medical scribing support during telemedicine visits
Help keep charts updated, organized, and ready for provider review
Assist with chart preparation before appointments by reviewing notes, labs, medications, and relevant patient history
Enter key clinical details into the EMR, including main concern, diagnosis context, and medication information
Support lab ordering workflows, including selecting the correct lab facility, attaching diagnosis codes, and helping ensure orders are complete
Assist with reviewing referrals, authorizations, and supporting documents before patient visits
Handle prior authorizations as part of the clinic's daily workflow
Provide Spanish-English bilingual support, including real-time translation during patient interactions when needed
Help support patient coordination and scheduling workflows
Manage high volume of calls when not actively scribing.
Step in for backup phone and admin support when in-office staff need coverage
Communicate clearly with the clinic team regarding urgent updates, follow-ups, and task status
Maintain high standards for confidentiality, HIPAA compliance, and documentation accuracy
What We're Looking For
Fluent in English and Spanish
At least 6 months of medical scribe experience
Willing and able to handle a high-volume phone workflow, during non-scribing hours in a fast-paced environment
Willing to support prior authorization tasks
Strong understanding of medical terminology, charting, and patient coordination
Comfortable supporting a provider during live telemedicine visits
Experience with EMR documentation, chart prep, referrals, and insurance-related workflows is a strong advantage
Able to follow established systems and adapt quickly to clinic-specific processes
Strong attention to detail and ability to stay organized while handling multiple tasks
Professional, dependable, and responsive during work hours
Preferred Experience
Experience in a medical virtual assistant, medical scribe, or healthcare administrative support role
Familiarity with Tebra/Kareo, Epic, RingCentral, or similar cloud-based systems
Experience with live scribing
Experience with lab order entry, diagnosis linkage, and clinical documentation support
Experience communicating with both patients and internal teams in a bilingual setting
Experience in endocrinology or another specialty clinic is a plus
Important Note
A clinical background is optional for this role. What matters most is having at least 6 months of medical scribe experience, being comfortable in a healthcare setting, and being willing to support both scribing and phone-based patient coordination tasks.
Schedule
Part-time, 30 hours per week
Typically aligned with clinic hours Monday to Thursday
Schedule may vary slightly based on clinic needs and training requirements
Equipment Requirements
iPhone required for internal team communication and workflow coordination
Stable high-speed internet
Backup internet and power source preferred
Quiet and professional work environment suitable for patient-facing support
Who Will Do Well in This Role
You will do well in this position if you are proactive, calm under pressure, comfortable switching between scribing and calls, and able to stay organized in a busy clinic environment. This role is a strong fit for someone who enjoys both the clinical and administrative side of healthcare support and can move smoothly between charting, coordination, communication, and patient-facing tasks.
