Remote | Cosmetic/Plastic Surgery | 32 Hours per Week | $6 per Hour | Female-only
We are hiring a polished, highly organized Medical Virtual Assistant to support a U.S.-based cosmetic and plastic surgery practice. This position combines front-desk support, patient coordination, surgical scheduling, insurance tasks, and administrative assistance.
The ideal candidate communicates with warmth and confidence and can provide the attentive, high-touch service expected in a premium cosmetic surgery setting.

The practice specializes in cosmetic and plastic surgery and primarily serves female patients. Every patient should receive a welcoming, professional, and personalized experience from the first inquiry through post-operative follow-up.
Key Responsibilities
Patient Coordination
Answer incoming calls and respond to patient inquiries professionally
Schedule consultations, procedures, and follow-up appointments
Coordinate surgery schedules with operating rooms and hospitals
Confirm that patients complete the required pre-operative and post-operative visits
Explain general pricing, balances, and available payment arrangements confidently
Maintain a warm and reassuring approach when assisting patients
Insurance and Administrative Support
Process insurance prior authorizations
Complete and submit medical claim forms using CPT and ICD-10 codes provided in the patient notes
Follow up on outstanding claims, balances, and required documentation
Collect patient balances and document payment conversations accurately
Maintain organized and up-to-date patient records
Clinical and Urgent Communication Support
Monitor and respond promptly to time-sensitive emails from hospitals, operating rooms, and post-operative patients
Identify urgent concerns and escalate them to the appropriate clinical team member
Assist with physician scribing and patient note management when needed
Protect patient confidentiality and follow established practice procedures
Required Qualifications
At least one year of Medical Assistant or Medical Virtual Assistant experience
Previous experience processing medical claims
Familiarity with insurance prior authorizations, CPT codes, and ICD-10 codes
Excellent spoken and written English that is clear and easily understood
Strong phone presence and confidence discussing payments and patient balances
Professional, polished, friendly, and composed communication style
Excellent organization, attention to detail, and follow-through
Ability to respond quickly to urgent surgical or post-operative concerns
Comfortable supporting a predominantly female cosmetic surgery patient population
Reliable internet connection, computer equipment, and distraction-free workspace
Preferred Qualifications
Experience in cosmetic surgery, plastic surgery, dermatology, or another specialty practice
Experience coordinating surgical procedures with hospitals or operating rooms
Physician scribing or medical documentation experience
Familiarity with Office Ally
Experience using Google Voice
Experience supporting social media posting or patient lead tracking
Tools Used
Office Ally for electronic medical records
Google Voice for patient calls and communication
Time Doctor for productivity and device activity tracking
