GPC Philippines Corporation is currently seeking a Property Manager Assistant. This position will work from 12:00 AM to 8:00 AM PHT and applies only to Philippine-based legal residents and citizens. Work time will shift to better hours over time.

The Property Assistant is responsible for supporting the Property Management team in all aspects of commercial property operations, ensuring seamless communication between team members, tenants, and vendors. Key responsibilities include managing work orders, coordinating vendor services, maintaining tenant and vendor information, assisting with AR reporting, coding invoices, and preparing property books and operating budgets. This role requires monitoring compliance for certificates of insurance, managing access systems, and ensuring timely completion of administrative tasks. The ideal candidate will have 1-2 years of experience in real estate or a related field, proficiency in Yardi, Microsoft Office, and property management systems, and excellent time management and multitasking abilities. A high school diploma is required, and a bachelors degree in a related field is preferred. Superior organizational, customer service, and communication skills are essential for success.

Key Responsibilities:

  • Manage email inboxes for the property management team and address inquiries.
  • Coordinate and track work orders using property management systems like Prism and Building Engines.
  • Prepare and process vendor invoices, ensuring accuracy and compliance.
  • Monitor and maintain certificates of insurance for tenants and vendors, addressing expiration dates.
  • Update tenant and vendor contact information in Yardi and other systems.
  • Assist in the preparation of property books, tenant correspondence, and operational budgets.
  • Collaborate with vendors to secure bids, finalize contracts, and track service agreements.
  • Manage access card systems and oversee scheduling of common area conference rooms.
  • Provide support for AR reporting, drafting late notices, and processing payments.
  • Contribute to process improvement initiatives and ensure compliance with company policies.

Qualifications:

  • 1-2 years of experience in real estate, property management, or a related field.
  • High school diploma required; bachelors degree in Business, Real Estate, or a related field preferred.
  • Proficiency in Yardi, Microsoft Office Suite, and property management tools like Prism or Building Engines.
  • Strong organizational, time management, and multitasking abilities.
  • Exceptional customer service and interpersonal communication skills.
  • Ability to read and interpret leases, contracts, and procedure manuals.
  • Detail-oriented and capable of maintaining confidentiality.
  • Self-motivated and able to adapt to a fast-paced, dynamic environment.
