Role Overview:
The Finance & Admin Officer is responsible for strengthening and maintaining the organisation's financial and administrative systems. This role supports effective budget management, accurate documentation, vendor coordination, and logistics administration while ensuring full compliance with statutory, regulatory, and donor requirements
Key Responsibilities:
1. Finance and Compliance
- Policy Adherence: Ensure compliance with all financial and administrative policies and procedures.
- Grant Management: Maintain donor-wise accounting, track grant conditions and utilization limits, and support donor financial reporting.
- Reporting & Audits: Prepare monthly, quarterly, and annual reports for auditing and donor requirements. Provide support for both internal and external audits.
- Budgeting: Plan, track, and report on budget utilization against monthly and quarterly milestones.
- Statutory Compliance: Ensure adherence to all statutory requirements, including TDS, GST, PF, and Gratuity.
- Payroll & Procurement: Process payroll in coordination with HR. Review procurement proposals for financial compliance and validate vendor documentation.
- System Management: Support the use and improvement of accounting/ERP systems and digital record management.
2. Effective and Efficient Administration

Procurement: Ensure all procurements comply with internal policies.
- Vendor Management: Select and manage vendors for travel, office equipment, stationary, and maintenance to ensure cost-effective services.
- Safety & Security: Ensure proper safety measures are followed for employees during work hours and travel.
- Consultant Support: Support consultants for programme implementation as per agreed terms of reference.
Qualification and Skills:

Education: Bachelor's degree in Accounting or Finance.
- Experience: Minimum of three years' experience in accounting and administration within an NGO.
- Technical Knowledge: Strong understanding of accounting principles, statutory compliances, and donor-funded project requirements.
- Software: Proficiency in Accounting/reporting tools, ERPs, and Microsoft Office (Excel, Word).
- Soft Skills:
- Exceptional project management and data analysis skills.
- Effective communication skills in English.
- Ability to manage multiple deadlines and prioritize tasks independently.
- Strong interpersonal and networking abilities.
