About the Role:

This position supports a major national Higher Education Scholarship Initiative. The program focuses on providing comprehensive support to talented young women to pursue their higher education goals. This is a multi-phase initiative, recently launched, that will be scaled to cover the entire country over the next few years.

Key Responsibilities:

The Executive Assistant provides essential administrative and operational support to the Function Leader and the wider Scholarship Team, ensuring the smooth execution of a high-volume, national program.

1. Administrative and Communication Management

  • Provide comprehensive administrative and operational support to the Function Leader and the team.
  • Manage and prioritize the Function Leader's calendar, including scheduling, setting up, and coordinating meetings and conferences across different teams.
  • Review and prioritize all incoming correspondence (emails, mail) and determine the necessary follow-up action.
  • Draft, prepare, and distribute high-quality correspondence and official documents.
  • Serve as a courteous and efficient interface for all external callers and office visitors.

2. Operational Support and Logistics

  • Coordinate all logistics for meetings, events, workshops, and team-wide activities.
  • Manage complex travel logistics for the Function Leader and, when necessary, other team members (including itineraries, accommodation, visa processing, and expense reports).
  • Maintain all digital and physical files, information, and records in a readily usable and retrievable format.

3. Confidentiality and Record Keeping

  • Ensure strong record-keeping skills are applied across all documentation.
  • Uphold the highest level of confidentiality regarding sensitive program and personnel information.

Candidate Requirements:

  • Education: Bachelor's degree in any discipline.
  • Experience: Minimum of 2 years of experience in a similar role, with a strong preference for candidates who have supported a Function Leader, multiple stakeholders, or a team.
  • Language Proficiency: Proficiency in both English and Hindi is mandatory.
  • Skills:

    • Excellent oral and written communication skills, including active listening and accurate reading comprehension.
    • Strong computer skills and high proficiency with Microsoft Office Suite.
    • Proven ability to work across functions and foster a collaborative teamwork environment.
