 Job Description:

An Executive Assistant provides high-level administrative support by managing the executive's schedule, communications, and daily priorities. They act as a key liaison between the executive and stakeholders, ensuring tasks, meetings, and deadlines are well-coordinated. They may also handle CRM updates, basic finance tasks using Xero, and assist with projects to keep operations running smoothly.

Salary Range: 30,000 - 35,000
Work Set-Up: Work onsite | Mon-Fri | 6am - 3pm

Job Responsibilities

  • Daily general administration duties including processing client correspondence and all-around office support
  • Manage daily bookings and scheduling of appointments
  • Provide direct administrative support to the Director
  • Use Xero for basic admin/finance support
  • Ensure all administrative processes are well-organized and up to date
  • Perform accurate data entry across CRM systems, spreadsheets, and internal databases
  • Assist with CRM management and pipeline tracking
  • Manage communication including emails and phone calls supporting team members
  • Assist customers or clients, organize reminders, registration dates
  • Schedule, appointments, meetings, and coordinates space
  • Assist in managing and scheduling social media posts
  • Occasionally assist with personal tasks for the executive (if required)

Skills & Qualifications

  • Degree in Administration, Business Management, or related courses
  • Proven experience as an Administrative Assistant or similar role
  • Familiarity with CRM systems (NexusPro,sortscape or similar)
  • Strong data entry and organizational skills
  • Comfortable using WhatsApp and other messaging platforms for client communication
  • Basic bookkeeping or Xero experience is preffered
  • Basic knowledge of social media managing
  • Familiarity with scheduling tools, email automation, and calendar management.
  • Proficient in Microsoft Office or Google Workspace
  • Excellent interpersonal skills. communication skills both verbal and written
