Job Description:
We are seeking an Office Administrator with an accounting background to provide full administrative and personal support, ensuring smooth day-to-day operations of the business. This role includes assisting the director with administrative tasks, supporting basic social media management, and handling accounting-related duties such as invoices and billing.
Salary Range: PHP 20,000 - 25,000
Work Set-Up: Work onsite | Mon-Fri | 6am - 3pm

Responsibilities:
- Manage the directors inbox: categorize emails, flag priority messages, draft replies, and keep the director updated on important items.
- Manage accounts payable and receivable, including processing supplier invoices, issuing client invoices, receipting payments, and following up outstanding accounts.
- Review, code, and forward bills and invoices to accounts or external accountants, ensuring accuracy, correct job allocation, and timely payment.
- Maintain clear records of financial transactions, variations, and purchase orders aligned to construction projects.
- Coordinate the directors inbox by filtering emails, flagging priorities, drafting responses, and ensuring nothing critical is missed.
- Respond to client, supplier, and consultant enquiries in a professional and timely manner.
- Track approvals, variations, and payment milestones across projects and follow up where required.
- Maintain organised systems for scheduling, reminders, deadlines, and follow ups related to both financial and project activities.
- Prepare basic financial summaries, correspondence, and reports to support project and business oversight.
- Coordinate internal communication between site, suppliers, consultants, and the director to keep tasks moving.
- Have a bit of a creative side. Assist with managing company social media when required, including basic photo or short video edits.
- Support the director with day to day administrative and personal tasks to maintain workflow efficiency.
Requirements:
- Strong written and verbal communication skills.
- Strong understanding of accounts payable and receivable processes (Xero).
- Experience or working knowledge of residential construction activities, terminology, and project workflows.
- Ability to understand invoices, trade scopes, progress claims, and variations.
- High attention to detail and strong organisation skills.
- Confident written communication, especially drafting clear and professional emails.
