 Job Description:

We are seeking a proactive, system-driven, and detail-oriented Contract Admin to support our operations across administrative, marketing, and project management functions. This role is ideal for someone who enjoys building structure, documenting processes, and continuously learning. The client highly values individuals who are naturally curious, ask thoughtful questions, and take ownership of how they learn new tools and workflows. While technical skills are important, the client prioritises strong systems thinking, documentation habits, and a willingness to learn over mastery of specific tools.

Salary Range: PHP 30,000 - PHP 35,000
Work Set-Up:
Onsite | Monday to Friday | 6am - 3pm

Responsibilities:

  • Manage and set up tasks, projects, and workflows in ClickUp
  • Create, document, and continuously improve SOPs and internal processes
  • Observe existing workflows and suggest system or documentation improvements
  • Edit simple videos using Adobe Premiere Pro (complex edits handled by a specialist)
  • Coordinate and manage other VAs and external specialists
  • Perform basic bookkeeping tasks using Xero, including invoice and bill setup
  • Upload, quality-check, and organise content in Kajabi
  • Schedule and manage organic social media posts across platforms
  • Conduct lead generation by engaging in relevant Facebook groups
  • Support the client in staying organised, aligned, and on track with priorities
  • Ask questions, clarify processes, and proactively seek better ways of doing things

Requirements:

  • Minimum 3 years of relevant experience in administrative or support roles
  • Strong system and document orientation
  • Demonstrated experience creating SOPs or process documentation
  • Self-learner who can clearly explain how they learned the tools they use
  • Comfortable asking questions and showing curiosity about workflows and processes
  • Strong organisational, communication, and follow-through skills
  • Experience using Helpwise for email management is a plus
  • Experience with or willingness to learn the following tools: 
    • ClickUp
    • Xero (basic bookkeeping)
    • Kajabi
    • Adobe Premiere Pro
    • Frame.io (review platform for Premiere Pro)
    • Instagram, YouTube, Facebook, TikTok (organic posting)
