 Job Description:

Provides essential operational and administrative support to the Scheduling and Customer Service function. The position ensures accurate system data, timely job and call administration, and effective documentation management to support reliable service delivery and customer satisfaction

Salary Range: 30,000 - 40,000
Work Set-Up: Work onsite | Mon-Fri | 7am - 3pm

Responsibilities:

  • Raise and manage service calls in line with operational procedures.
  • Close PM jobs accurately and within required timeframes.
  • Manage after-hours call administration and related system updates.
  • Request and follow up quotes from subcontractors.
  • Load, review, and process quote approvals within systems.
  • Raise materials purchase orders (POs) in accordance with approved quotes linked to service calls.
  • Generate and update asset captures and asset records.
  • Update attachments and job documentation to ensure completeness and accuracy.
  • Produce and distribute service reports to clients.
  • Process Activity Completion Reports (ACRs).
  • Triage shared inboxes, prioritising and allocating actions as required.
  • Perform system updates to ensure job, asset, and contract data remains current and accurate.
  • Assist with ad hoc administrative tasks and special projects as directed by the Team Leader.

Requirements:

  • Experience in administration, customer service, or operational support roles.
  • Strong data entry capability with attention to accuracy and detail.
  • Ability to manage high volumes of work in a deadline-driven environment.
  • Experience using Pronto or similar job management systems is desirable.
  • Previous experience within facilities management or service-based industries.
  • Strong organizational and time management skills.
  • Effective communication and interpersonal skills.
  • Ability to prioritize tasks and manage competing deadlines.
  • Basic proficiency in scheduling systems and Microsoft Office Suite.
