About the Role:

The Logistics Officer is responsible for planning, coordinating, and monitoring the movement, storage, and distribution of materials and goods to ensure timely support for the Pipe Coating Services operations. This role ensures accurate inventory control, efficient material handling, coordination with suppliers/transporters, and compliance with company procedures and HSE requirements.

Position Responsibilities & Accountabilities:

  • Logistics Coordination: Coordinate inbound and outbound shipments, including booking transport, preparing shipping documents, and liaising with carriers and suppliers.
  • Inventory Management: Maintain accurate inventory records, perform regular cycle counts, and reconcile discrepancies in the warehouse management system or Excel.
  • Material Receipt & Dispatch: Receive, inspect, verify, and record incoming materials; prepare and check dispatch documentation; ensure proper labeling and storage.
  • Transport & Fleet Liaison: Coordinate with transport providers and the company fleet to ensure timely delivery and pickup of materials, and monitor transport performance.
  • Procurement Support: Liaise with procurement to track order status, expedite urgent shipments, and support vendor communication as required.
  • Documentation & Compliance: Prepare and maintain required logistics documentation (waybills, delivery notes, customs paperwork if applicable) and ensure compliance with internal controls and regulatory requirements.
  • Coordination with Projects: Work closely with project teams, warehouse, and site supervisors to prioritize and fulfill material requests and resolve supply issues quickly.
  • Cost Control: Monitor freight and logistics costs, suggest cost-effective routing and consolidation opportunities, and support approval processes for freight expenditures.
  • HSE & Security: Ensure safe handling and storage practices, follow HSE procedures, and report any incidents or near misses. Support security measures for warehouse and transported goods.
  • Continuous Improvement: Identify and support process improvement initiatives to optimize logistics performance and service levels.

Tasks

  • Produce shipping schedules and coordinate with carriers.
  • Validate packing lists, invoices, and delivery documentation.
  • Enter and update inventory and shipment records in WMS/ERP or spreadsheets.
  • Perform regular cycle counts and support annual stocktakes.
  • Inspect incoming goods for quantity and quality, and report discrepancies.
  • Issue materials to sites and update issuance records.
  • Track shipments and provide ETA updates to stakeholders.
  • Follow up on delayed or damaged shipments and support claims processes.
  • Maintain organized and safe staging and loading areas.
  • Prepare periodic reports on inventory levels, stock movements, and logistics KPIs.

Education and Experience:

  • Diploma or degree in Logistics, Supply Chain Management, Business Administration, or related field.
  • Minimum 2 years' experience in logistics, warehouse operations, or materials coordination, preferably within oil & gas, construction, or industrial services.
  • Experience with WMS/ERP systems is preferred.

Skills and Abilities:

  • Strong organizational and time-management skills.
  • Good knowledge of inventory control practices and logistics documentation.
  • Proficient with Microsoft Office (Excel essential).
  • Good communication and interpersonal skills.
  • Problem-solving skills and ability to work under pressure to meet deadlines.
  • Attention to detail and accuracy in record keeping.
  • Basic understanding of transport regulations and customs procedures (if applicable).
  • Good spoken and written English.

Preferred Skills and Qualifications:

  • Experience working in pipe coating, coating services, or industrial service companies.
  • Familiarity with freight cost optimization and carrier negotiation.
  • Certificate or training in logistics/supply chain (e.g., CIPS, APICS) is a plus.
  • Valid driver's license.
