Assist the smooth day-to-day operational running of the Print team. Formatting various printed materials and assessments for The University of Law, administration support for planning, production, duplication and fulfilment of printed and electronic materials for both the University of Law Centres and University of Law Clients.

Specific Responsibilities: 

Material Production & Delivery

  • To be responsible for planning, monitoring, duplication & fulfilment of all the programme materials allocated to you; ensuring timely delivery of all materials as per requirements and maximum efficiency.
  • Support, communication and supervision during production, leading to tracking and reporting delivery of all commissioned material assets.
  • The process supervision and progress chasing of all printed work with external companies, including Marketing, Centre and Publishing work.
  • Assist and prepare documents for our Special Needs students utilising the latest techniques.
  • To support the team in keeping the University stock lists up to date and in liaison with the Head of Publications and other team members to communicate the stock levels in a professional and timely way.
  • Actively improve existing templates, systems, procedures and tools, and work creatively to make and find new ones to improve productivity and communication.

Compliance

  • Maintaining 100% programme material compliance & quality.
  • To keep working documents in order and maintain them in accordance with Print guidelines.
  • To word process and produce a range of printed and electronic publications on a weekly basis using Microsoft Word. Check proofs and other material prior to sending to author or press.
  • To check workflow and quality of materials, in and out as required by the Production Managers.

Financials

  • To ensure that agreed estimates and subsequent purchase orders are raised in conjunction with the University procedures and financial regulations.
  • Understanding of the impact on budget, time and delivery when removing and/or adding a step and/or resource and act/advise as necessary
  • Liaising with the Head of Media Production regarding financial and resource implications.

Team

  • To understand The University of Law media products and ensure all materials produced is to a high standard as per best practices and protocols.
  • Ensure good customer relations for all clients of Print (Internal & External). Build strong team relationships with other team members and help to develop enabling strategies across the Group.
  • Assist with the administrative functions within the department in order to streamline and control the tasks in a timely and efficient manner.
  • General administration for the team including, but not limited to, dealing with the mail and stationary.
  • Maintain compliance with the Universitys internal systems and procedures; be aware of the risks that need to be managed effectively in your area.
  • Ensure that all daily, weekly, monthly and annual reports are completed in line with the agreed targets and requirements.
  • Support new starters to meet new and challenging organisational needs and share skills with the wider team as appropriate.
  • Actively take responsibility for your own personal career development in all respects and keep up to date with developments in your area of specialism or practice

Work Arrangement:

  • Onsite work until you successfully passed 3rd month performance review then will transition to hybrid (2x a month)
  • Work Location: Robinsons Zeta Tower, C5 Road, Ugong Norte, Quezon City. Office is near IPI Pasig and Tiendesitas. Office is accessible from Eastwood, C5 Road, Ortigas CBD, and Rizal areas.
  • Internet speed must be above 15 mbps upload and download speed
  • Work Schedule, 03:00 PM to 12:00 AM (Monday to Friday)
