The Registry Coordinator role sits within the academic administration function, providing comprehensive support to students and faculty across areas of assessment management, academic records, and learning platform coordination.


Student Support and Communication

  • Respond to student inquiries via the GISMA Registry mailboxes regarding programme structure, credits, assessments, and academic policies.
  • Provide timely and professional support during weekly online office hours.
  • Participate in student inductions and tutorial sessions to support new enrolments.

Assessment Administration and Tracking

  • Track submissions and monitor marking progress on Canvas, ensuring submission folders are correctly set up and accessible.
  • Maintain and update the Registry Excel tracker with submission counts and marking statistics.
  • Assist in managing assessment and reassessment tracking at the end of each term.

Learning Management System Oversight

  • Monitor Canvas to ensure timely assessment folder creation and proper configuration.
  • Troubleshoot student access issues and confirm full enrolment to relevant courses.

Academic Records and Progression

  • Use SYS to manage and review course IDs, programme structures, and student progression.
  • Oversee student advancement into the next academic level, entry into dissertation stage, and validate credit mapping.

Liaison with Student Finance

  • Coordinate with the Finance team on charges related to retake and prolongation fees.
  • Ensure students are informed of their financial obligations linked to academic activities.

Governance and Examination Board Support

  • Prepare documentation for quarterly Examination Boards, including extenuating circumstances, academic appeals, and misconduct allegations.

Qualifications:

  • Experience in education (student support, administration, etc.) is desirable
  • Strong communication skills
  • Ability to learn new systems quickly
  • Ability to work systematically and keep the deadlines
  • Proactiveness, not just readiness to do the minimum of tasks directly assigned; willingness to make suggestions and take on more responsibilities
  • Familiarity with Excel is preferable, but not a must.

Work Arrangement:

  • Onsite work until you successfully passed 3rd month performance review then will transition to hybrid (2x a month)
  • Work Location: Robinsons Zeta Tower, C5 Road, Ugong Norte, Quezon City. Office is near IPI Pasig and Tiendesitas. Office is accessible from Eastwood, C5 Road, Ortigas CBD, and Rizal areas.
  • Internet speed must be above 15 mbps upload and download speed
  • Work Schedule, 03:00 PM to 12:00 AM (Monday to Friday)
