About the job Attendance Administrator - Excel Experience Required
We are seeking a detail-oriented and highly organised Attendance Support Administrator for a UK-based higher education institution. This role plays a critical part in supporting student success, ensuring attendance concerns are identified early, accurately recorded, and escalated appropriately so students receive the support they need to remain engaged with their studies.
Working closely with Campus Attendance Officers, Team Leaders, and Registry/Data teams, you will support the end-to-end administration of attendance and absence cases. You will ensure data accuracy, regulatory compliance, and timely follow-up actions, contributing to effective attendance monitoring and student engagement.
Key Responsibilities
- Process student absence cases through the Absence Notification Form in Salesforce, ensuring records are complete, accurate, and compliant with audit and regulatory requirements.
- Extract attendance and absence data from multiple systems and consolidate reports to validate official attendance records.
- Ensure data quality and integrity by performing regular data checks, identifying anomalies such as missing students, unusual attendance patterns, or inconsistent totals. Use advanced Excel functions (e.g. formulas, VLOOKUP/XLOOKUP, pivot tables, conditional formatting, data validation rules) to analyse datasets and identify students requiring attendance interventions.
- Prepare accurate student follow-up and intervention lists, maintain detailed case notes, and track outcomes to support Campus Attendance Officers in effective student engagement.
- Conduct structured outbound calls to students who have not submitted attendance forms, missed meetings, or failed to respond to communications, following approved scripts, data protection guidelines, and escalation protocols.
- Support compliance and reporting activities, including maintaining accurate Salesforce records, preparing withdrawal documentation, and compiling case summaries for Attendance & Engagement Panels in line with UKVI, OfS, and SLC requirements.
- Maintain administrative systems and structured logs, including anomaly trackers, escalation records, and action plans for campus attendance panels.
- Collaborate closely with campus-based and central teams, providing reliable data-driven insights to support timely decision-making and student support actions.
About You
Highly detail-oriented with strong administrative and data-handling skills
- Comfortable working with systems such as Salesforce or similar CRM/student record platforms
- Advanced Excel capability is essential. Experienced in analysing large datasets and escalating discrepancies with confidence and clarity
- Professional communication skills, including experience with outbound calls or stakeholder engagement
- Highly organised, detail-focused, and able to manage multiple priorities within defined processes
Strong understanding of data protection and confidentiality requirements
Work Arrangement
- Work onsite for 4 months then transition to hybrid (once a week in the office) after passing 3rd month performance review.
- Work Schedule 8AM GMT (4PM to 1AM, weekends off)
- Work Location: Robinsons Zeta Tower, Bridgetowne, Ugong North, Quezon City. Area is beside Opus Mall, across IPI Pasig and Tiendesitas. Office is accessible from Ortigas CBD, Eastwood, C5 road, and Rizal areas.
