About the job HR Assistant

We are looking for an HR Assistant who will play a key role in supporting the HR team across Germany entities. This role will focus heavily on managing and optimizing our HR Information System (HRIS) across the full employee lifecycle from onboarding to offboarding. You will ensure that HR data and employee records are accurate, complete, and well-maintained, while also helping to ensure our HR workflows are efficient and digital-first.

This role requires someone who is highly organized, tech-savvy, and proactive in collaborating with HR and business stakeholders. You will also provide reporting support that will guide business leaders in decision-making and workforce planning.


Key Responsibilities

  • Manage and maintain the HRIS for all employee-related processes (onboarding, changes, promotions, benefits, performance reviews, and offboarding).
  • Transfer existing manual employee records into the HRIS and ensure the ongoing accuracy of digital personnel files.
  • Serve as a key point of contact between HR Business Partners, Finance, and other internal stakeholders.
  • Monitor compliance-related documentation, performance review cycles, and HR deliverables to ensure timely completion.
  • Generate HR reports and dashboards to support business insights, workforce planning, and decision-making.
  • Identify opportunities to streamline, automate, and improve HR processes and documentation workflows.
  • Support in preparing employment contracts, letters, and documentationincluding coordination of freelancer agreements.
  • Provide general operational support to the HR team on HR administrative and employee data topics.

To qualify for the role, you must have:

  • 2+ years of work experience working in Human Resources or HR Operations, preferably within a multinational environment.
  • Strong proficiency with HRIS / HR systems administration and understanding of end-to-end HR processes.
  • Proficient in Microsoft Excel and Microsoft Office tools.
  • Excellent communication skills in English (written and spoken); German is a strong advantage.
  • Highly organized, detail-oriented, and structured in handling data and documentation.
  • Strong stakeholder management skills and confidence when partnering with business leaders.
  • Proactive, flexible, solution-oriented, and able to work independently.
  • Familiarity with payroll processes and compliance requirements is a plus.

Work Arrangement

  • Work Schedule: 8AM Berlin time (4:00 PM to 1:00 AM)
  • Work Location: Robinsons Zeta Tower, C5 Road, Ugong Norte, Quezon City. The area is beside Opus Mall and across Tiendesitas and IPI Pasig. It is accessible from Ortigas CBD, Eastwood, C5 Road, and Rizal areas
  • This is an on-site position for 4 months, with the option to transition to a hybrid work set up of once a week after successfully passing the 3rd month performance review.
