Job Overview

As People Shared Services Associate you will be responsible for assisting in supporting the end-to-end processing of multi-state payroll operations. You will work closely with Global People teams including local HR, Benefits, HR Technology, and Shared Service to ensure payroll accuracy and deliver an exceptional employee experience.

You will report to the Senior Manager, Payroll based in the US and contribute to delivering a seamless payroll experience for our employees, and to the People Team Lead based in Manila, Philippines.

Job Description

  • Support the end-to-end processing of bi-weekly and weekly off-cycle payroll for U.S. employees across multiple states in a timely and accurate manner.
  • Assist team in accurately validating payroll data including new hires, terminations, pay rate changes, bonuses, shift differentials, and leaves of absence.
  • Assist in reconciling payroll prior to transmission and validate confirmations, ensuring proper tax withholdings and deductions.
  • Partner with HR/Benefits teams to ensure accurate and complete payroll inputs.
  • Respond to employee payroll inquiries via ticket system with professionalism, providing clear and timely resolution.
  • Assist in preparing payroll reports and supporting internal audits.
  • Maintain up-to-date payroll documentation and employee records to meet audit and legal standards.
  • Participate in system enhancements, testing, and payroll-related process improvements.
  • Support special projects and continuous improvement initiatives aligned with HelloFresh's scale and complexity.


Qualifications

  • With a Bachelors degree in Accounting, Finance, Human Resources, Business Administration, or a related field.
  • With at least three (3) years solid and comprehensive experience of the same capacity.
  • Has experience in payroll processing, preferably in a Shared Services or multinational environment.
  • Familiarity and experience with multi-country payrolls, laws and statutory requirements is a plus.
  • In-depth experience working with global payroll and HR systems; knowledge of Workday, SAP, ADP/Smart Compliance, HCM and Payroll, or similar systems is preferred

Competencies:

  • Prior experience in a high-growth, consumer-facing or e-commerce company.
  • In-depth numerical and analytical skills with high attention to detail and accuracy.
  • Proficiency in Microsoft Office applications, particularly MS Excel, look up, pivot table and other relevant.
  • Strong communication skills and ability to work effectively in a multicultural, shared services environment.
  • Ability to handle confidential information with integrity and professionalism.
  • Proactive mindset, ability to prioritize, and work independently under deadlines, multiple priorities in a dynamic environment
  • Has willingness and ability to proactively collaborate and communicate within the team and stakeholders.
  • Ability to resolve conflict with integrity and demonstrate high degree of confidentiality and negotiation skills within the scope.
  • Analytical, and able to translate and communicate statistical data into action.
  • Ability to work independently as well as in a team.
  • Structured, accurate, systematic and committed to delivering within deadlines.
  • Ability to take initiative and make sound judgments and recommend decisions within scope of work.
  • Experience in payroll project migration is an advantage.
  • Motivated to facilitate and contribute to the company's growth.
