Job Overview

The Purchasing Coordinator plays an essential role in managing and overseeing the
purchasing activities of an organization. This includes acquiring products and services from
vendors at the most advantageous prices, and ensuring that these purchases support the
organization's operations and strategies. It needs strong negotiation skills, good organizational
abilities, and a keen eye for detail. They also need proficiency in relevant software
applications, such as inventory management systems or enterprise resource planning (ERP)
systems.


Job Description

  • Extract and aggregate data from the invoicing system for invoice analysis and
    reconciliation
  • Analyse errors and trace them back to the root cause using raw data from the
    appropriate database.
  • Ensure data accuracy and correct flow of information to the relevant stakeholders
    involved in the daily activities, reporting any data issues to the team.
  • Performs intermediate & ad-hoc database analysis in Google sheets using pivot tables,
    charts, and formulas.
  • Audit purchase order system for open purchase orders pending invoice receipt,
    research or close as necessary.
  • Coordinating purchasing activities with other departments within the company to
    ensure consistency in approach, terminology, and implementation.
  • Maintains operations by following policies and procedures and reporting and driving
    needed changes.
  • Supporting our inbound supply chain operations to ensure our ingredients arrive in full
    and on time.
  • Engaging with our external suppliers to ensure our high standards are consistently
    met.
  • Fulfilling the weekly ordering and forecasting processes
  • Handling internal and external stock requests and queries, proactively managing
    inbound deliveries to eliminate risk.
  • Ensuring timely and accurate information is shared to internal stakeholders working closely with Procurement, Planning, Technical, Inventory and Production teams to deliver the best customer experience.
    Resolves any issues/questions that arise with trade partner change order and purchase order reconciliation.
