Are you an experienced Project Administrator looking for a job based out of Brisbane and on-site as required? We are looking for an experienced, confident administrator who will enjoy the variety and challenge of supporting civil and mining projects throughout Qld and NSW.

We are recruiting an experienced Project Administration Assistant to join our Clients team based at their Brisbane Head Office.

This is a great role for someone who enjoys variety and a challenge becuase you will have the opportunity to travel and stay at project locations throughout Qld and NSW, sometimes for a few weeks other times a few months working on short-term projects.

For these short-term projects, it will be FIFO or DIDO working a specific roster.

Working either from Head Office or onsite for a project, you will be responsible for your allocated project/s administration, reporting, timesheets, purchase orders, reconciling invoices, travel bookings, and end-of-month functions.

Tasks & Responsibilities include:

  • Collecting, scanning, filing, and distributing paperwork;
  • Data Entry;
  • Invoice and docket matching;
  • Generating purchase orders;
  • Handling correspondence;
  • Maintaining registers;
  • Timesheet entry;
  • Travel and accommodation bookings;
  • General Administration duties;
  • Responding to phone and email queries;
  • Assisting the project team as required.

About you

As the successful candidate you will have:

  • Recent experience of on-site project delivery;
  • Be a team player with excellent time management skills and a can-do attitude;
  • Ideally, hold a relevant Business Administration tertiary qualification (Diploma / Cert IV);
  • A minimum of 12 months experience preparing and reconciling purchase orders and invoices;
  • Ability to facilitate strong working relationships with both internal and external stakeholders;
  • Ability and experience in working in a busy team environment;
  • Good working knowledge of the Advanced Microsoft Office Suite (including Excel, Word, Outlook) and Microsoft Teams;
  • Excellent written and verbal communication skills;
  • Experience with processing and collating of timesheets;
  • Experience with end-of-month reporting;
  • Strong attention to detail.
