About the job Senior Asana Workflow Specialist
Were hiring a senior-level Asana expert to architect and maintain high-functioning project workflows across a fast-paced, multi-channel marketing department. Youll own the structure, visibility, and collaboration process across teams handling digital campaigns, design, trade marketing, events, and social media. This is not a basic task manager role we need someone who has led and scaled Asana systems for multi-department orgs.
Who Youll Support
Digital Marketing (ads, email, analytics)
Design/Creative (flyers, packaging, content)
Events & Activations (local/national campaigns)
Trade Marketing (retailer promos, print/asset distribution)
Social Media (content calendars, influencer posts)
Core Responsibilities
Architect, implement, and maintain Asana portfolio structures, campaign templates, and task hierarchies
Create standardized project templates, workflows, automations, and custom fields
Manage task dependencies, due dates, notifications, and reporting dashboards
Lead setup of cross-team collaboration workflows and manage campaign tracking across departments
Build and enforce time tracking structures and workload visibility
- Integrate Asana with:
Microsoft Office Suite (Outlook, Excel, Teams)
Google Drive, Slack, Zoom, and other third-party tools
Conduct weekly Asana audits to maintain clean, active boards
Support team onboarding and training coach managers and teammates on Asana best practices
Sync daily with internal PM lead and managers to gather campaign progress and ensure execution stays on track
Must-Have Experience
35+ years of professional Asana experience
- Must have built and maintained systems for:
Multiple teams or departments
1550+ active users
- Expert knowledge of:
Asana portfolios, projects, subtasks, forms, custom fields, dashboards, rules, and automations
Task ownership and hierarchy (project > task > subtask > dependencies)
Notifications, permissions, integrations, and workload management
Proven track record supporting cross-functional marketing or creative teams (agency or in-house)
Bonus Points For
Familiarity with digital ad campaign workflows and creative asset approvals
Experience building project systems for content calendars, influencer tracking, or sales team coordination
Familiarity with Slack, HubSpot, Make/Zapier, ClickUp, or Trello
