Salary Range: USD 1,100 – USD 1,300 per month

Job Overview
We are seeking a mid-level Property Management Operations Coordinator to support the administrative operations of a growing property management portfolio. This is a fully remote position responsible for document preparation, system management, tenant and vendor coordination, and compliance tracking inside AppFolio and related platforms.
This role is operational and administrative in nature. It does not include trust accounting, reconciliations, disbursements, or portfolio-level financial management.
The ideal candidate has 3–5 years of property management administrative experience, understands lease documentation and compliance workflows, and can independently manage recurring deadlines without supervision.
Key Responsibilities
Lease & Agreement Management
- Draft lease agreements, property management agreements, and lease renewals using approved templates
- Create agreements using DocuSign and Transaction Desk
- Track all signatures and ensure timely execution
- Monitor renewal timelines and initiate lease renewal process proactively
- Upload fully executed agreements into AppFolio and ensure proper file organization
- Maintain accurate lease terms, rent amounts, and agreement details in the system
Administrative & Systems Management
- Enter new properties, monthly rent amounts, lease terms, and management agreement details into AppFolio
- Submit and track vendor invoices for approval
- Process vendor estimates for review and approval
- Maintain accurate and organized digital files
- Monitor task completion and ensure deadlines are met
Compliance & Documentation Tracking
- Ensure all vendors have current licenses and insurance certificates uploaded and tracked
- Monitor expiration dates for vendor documentation and request updated certificates when needed
- Ensure renters insurance is collected annually from tenants and uploaded into the system
- Track policy expiration dates and follow up prior to lapse
- Maintain organized compliance records across the portfolio
Maintenance & Inspection Coordination
- Receive and process maintenance requests
- Dispatch vendors and confirm scheduling
- Communicate by phone with home warranty companies and vendors when necessary to coordinate repairs
- Track completion and request documentation and photos
- Ensure work orders are properly closed out in the system
- Use RentCheck to schedule and coordinate annual inspections with tenants
- Track inspection reports and ensure follow-up items are completed
Eviction Administration
- Initiate 7-Day Notices, 30-Day Notices, and eviction filings through the eviction companys online portal
- Track court deadlines and required documentation
- Maintain organized records of filings and communications
- Coordinate required documentation and ensure proper system uploads
Tenant Communications
- Respond to tenant inquiries professionally and in a timely manner
- Issue and track lease violations
- Provide updates regarding repairs and timelines
- Draft professional written communication using templates and AI-assisted tools where appropriate
- Most communication is handled online via email, text, and the property management platform. Limited voice communication will occur primarily when coordinating repairs with home warranty companies and vendors.
Note: The role may submit bills, process estimates, and enter lease and rent data into the system, but all financial reconciliations and monetary oversight remain with management.
