Work Schedule: Monday to Saturday (shortened hours Monday-Friday, then 4-6 hours work on Saturday, still a total of 40 hours per week)

About the Role

We're looking for a proactive and detail-oriented Medical Administrative and Billing Assistant to support a U.S.-based optometry practice. This role helps ensure smooth day-to-day operations by managing patient scheduling, handling communication, processing records, and providing administrative support to the clinic team.

You'll be working closely with the practice owner and in-clinic staff to help deliver an excellent patient experience, even from miles away.

Key Responsibilities

  • Manage patient appointments, cancellations, and rescheduling through the clinic's booking system.
  • Answer calls, emails, and messages in a professional and courteous manner.
  • Assist with insurance verification, billing submission, and claims follow-up.
  • Confirm appointments and send reminders to patients.
  • Update and maintain patient records in the electronic medical record (EMR) system.
  • Support front desk tasks such as intake forms,and patient inquiries.
  • Coordinate with the optometrist and local staff to ensure smooth operations.
  • Maintain confidentiality and comply with HIPAA and clinic data privacy standards.
  • Prepare daily or weekly reports as needed (appointments, cancellations, collections, etc.).

Qualifications

  • At least 2 years of experience in administrative or customer service roles (preferably in a healthcare or clinic setting).
  • Strong English communication skills (written and verbal).
  • Comfortable speaking with patients over the phone.
  • Proficient with office tools (Google Workspace, Microsoft Office) and appointment scheduling software.
  • Experience using EMR or CRM systems is an advantage.
  • Organized, detail-oriented, and able to multitask efficiently.
  • Reliable internet connection and quiet workspace for client communication.

Preferred Background

  • Experience working with U.S.-based medical or optometry practices.
  • Knowledge of basic insurance and billing procedures.
  • Familiarity with systems like Crystal Practice Management, RevolutionEHR, Eyecloud Pro or similar EMR platforms.
