Role Overview
We are seeking an Executive Assistant to serve as a trusted partner to a senior executive, managing
the day-to-day coordination that keeps work moving efficiently. This role is hands-on and detail-
driven, with a strong emphasis on calendar and inbox management, meeting logistics, and follow-
through on commitments across internal and client-facing priorities. The ideal candidate brings
excellent communication skills, sound judgment, and a proactive approach—anticipating needs,
protecting focus time, and ensuring deadlines and action items do not slip.
Key Responsibilities
- Manage the senior executives calendar, including scheduling focus time, client meetings, internal syncs, and events with excellent timing and context awareness.
- Organize and triage email inbox, draft responses, and ensure timely follow-up on key action items.
- Coordinate meetings with internal teams, clients, vendors, and partners, including logistics and materials preparation.
- Create agendas, capture notes, and track action items for key meetings.
- Maintain CRM hygiene and support pipeline administration as needed.
- Support proposal workflow and sales process administration (scheduling, document assembly, version control, and routing for review).
- Assist with time tracking and billing support (reminders, data collection, and coordination with finance/ops).
- Triage and route incoming client service escalations.
Qualifications
- 3+ years experience supporting C-suite or senior executives, ideally in consulting, technology, or a professional services environment.
- Strong written and verbal communication skills, with ability to draft polished, client-ready correspondence and materials.
- Demonstrated expertise in calendar and inbox management, including prioritization, context switching, and proactive follow-through.
- Proficiency with Microsoft 365 (Outlook, Teams, Word, Excel, PowerPoint); ability to produce professional decks and documents.
- Experience maintaining CRM hygiene and pipeline administration (e.g., Salesforce, HubSpot, or similar), including tasks, notes, and follow-ups.
- Familiarity with proposal workflows and document coordination (assembly, version control, routing for review/approval).
- Exposure to time tracking and billing support processes in a services environment (timesheets, reminders, coordination with finance/ops).
- Highly organized with strong attention to detail, excellent judgment, and ability to manage confidential information with discretion.
