We are seeking a detail-oriented and highly organized Virtual Assistant with Project Management Office (PMO) experience to support our leadership and project teams. This role requires a proactive individual who can manage administrative tasks while also contributing to project tracking, documentation, and coordination efforts.

Key Responsibilities:

  • Provide high-level administrative support to project managers and executive staff.
  • Assist in planning, organizing, and monitoring multiple projects across departments.
  • Maintain and update project documentation, reports, timelines, and status trackers.
  • Schedule and coordinate virtual meetings, prepare agendas, and capture action items.
  • Support the implementation and improvement of PMO processes, tools, and templates.
  • Follow up with stakeholders to ensure timely completion of project tasks and deliverables.
  • Manage calendars, emails, and communication on behalf of project leads or executives.
  • Assist in preparing presentations, reports, and dashboards for project updates.
  • Perform general administrative tasks such as data entry, file management, and invoice tracking.

Qualifications:

  • Proven experience as a Virtual Assistant or Executive Assistant, with exposure to project management or PMO functions.
  • Familiarity with project management methodologies (e.g., Agile, Waterfall) is a strong plus.
  • Proficient in tools such as Microsoft Office, Google Workspace, Asana, Trello, Jira, or MS Project.
  • Strong communication and time-management skills.
  • Ability to work independently, multitask, and handle confidential information with discretion.
  • PMP, CAPM, or similar project management certification is an advantage (not required).

Preferred Skills:

  • Experience working with remote and cross-functional teams.
  • Basic understanding of project budgeting and resource planning.
  • Strong analytical and problem-solving abilities.
