We are looking for a Virtual Assistant Project Manager to join our dynamic, fast-paced teams. This role starts with foundational admin work and evolves into full project management responsibilities.

What Youll Do Phase 1: Administrative Support

• Take clear, concise meeting notes and upload them to the CRM
• Assist with scheduling, email communication, and documentation
• Help maintain internal task tracking and follow-ups

Phase 2: Customer Support

• Handle email and chat inquiries with professionalism and clarity
• Build strong familiarity with internal systems and client projects
• Support customers by addressing concerns or escalating them appropriately

Phase 3: Project Management

• Track deadlines, deliverables, and team accountability
• Use project management tools like Slack, Notion, and Linear
• Coordinate between departments to ensure seamless execution
• Assist in planning, process improvement, and strategic initiatives

What Were Looking For

• Excellent written and spoken English skills
• Highly organized, detail-oriented, and proactive
• A strong critical thinker who can anticipate needs and resolve issues
• Previous experience in project coordination or management
• Comfortable managing tasks across remote teams and tools
• Familiarity with Slack, Notion, CRM platforms, and Linear is a big plus
• Experience managing or supporting teams is preferred
