About This Role:

We are hiring a detail-oriented Operations Specialist to support a growing consumer brand with B2B order operations, light supply chain and demand planning support, and limited customer service. This role consolidates responsibilities previously handled by a junior VA and requires a higher level of ownership, accuracy, and process discipline.

This is not a basic VA role. The ideal candidate is comfortable working with structured workflows, managing data across systems, and supporting operational teams with clean, reliable information. Quality and accuracy matter more than speed.

Key Responsibilities:

B2B Order Operations (Approx. 40%)

  • Process wholesale and B2B orders end-to-end

  • Handle order entry, updates, and coordination across systems

  • Maintain accurate records in Shopify and internal spreadsheets

  • Ensure order data consistency and follow-through

Supply Chain & Demand Planning Support (Approx. 40%)

  • Organize and maintain spreadsheets used for forecasting and demand planning

  • Support inventory tracking and basic forecasting workflows

  • Work closely with operations to keep data clean, structured, and usable

  • Assist with reporting and operational data preparation as needed

Customer Service Support (Approx. 20%)

  • Handle approximately 10 to 15 customer emails per day

  • Focus primarily on order-related inquiries

  • Coordinate internally to resolve issues accurately and efficiently

Software/Platforms/Tools:

  • Shopify

  • Google Sheets or Excel

  • Email and internal communication tools

  • Order and inventory tracking systems (experience preferred)

Qualifications:

  • 3–5 years of freelancing experience.

  • Excellent written and verbal English communication (C1 or C2 level).

  • Shopify experience is non-negotiable

  • Background in eCommerce operations

  • Experience in fragrance or health and beauty brands strongly preferred

  • High attention to detail with proven process discipline

  • Strong spreadsheet skills with emphasis on organization and accuracy

  • Ability to manage multiple workflows independently without hand-holding

  • Comfortable in a process-heavy, operations-focused role

Shift Schedule:

  • Monday to Friday, with some overlap with US business hours preferred
