Job Title: Ad Operations Coordinator (Marketing Operations / Executive Assistant Support)

Contractor Fee: $1,700 - $2,000/month (USD)

About This Role:
We are hiring a highly organized and detail-oriented Ad Operations Coordinator to support the marketing and creative funnel team of a fast-growing direct-to-consumer eCommerce brand. This role focuses on executing operational tasks across paid media campaigns, creator logistics, and performance tracking while working closely with the Funnel Lead. The ideal candidate enjoys process-driven work and ensures ads are uploaded accurately, data tracking is maintained, creator orders are fulfilled on time, and internal systems remain organized in a fast-paced marketing environment.

Key Responsibilities:

  • Upload ads in Meta Ads Manager based on campaign briefs and ensure all naming conventions, targeting parameters, and ad settings are implemented correctly

  • Troubleshoot ad upload issues and escalate platform problems when necessary

  • Maintain and organize creative asset libraries, b-roll footage, and campaign folders

  • Ensure marketing assets are properly labeled, versioned, and accessible to the team

  • Maintain performance tracking sheets, including EROAS and other funnel KPIs

  • Update internal reporting dashboards and flag discrepancies or anomalies in campaign data

  • Create and manage product orders for UGC creators and ensure shipments are processed when briefs are issued

  • Maintain creator tracking sheets and follow up on pending deliveries or content timelines

  • Monitor and organize feedback from Facebook ad comments and Shopify product reviews

  • Categorize insights and surface recurring feedback themes for the marketing and creative teams

  • Support the Funnel Lead with operational tasks related to the paid media pipeline

  • Maintain organized ad account structures, including archiving campaigns and managing ad sets

  • Update task progress and workflows inside project management tools

Software/Platforms/Tools:

  • Meta Ads Manager

  • Shopify

  • Google Sheets / Excel

  • Google Workspace

  • Slack

  • ClickUp or similar project management tools

  • Asset management tools and shared cloud storage platforms

Qualifications:

  • At least 3-5 years of freelancing experience

  • Excellent written and verbal English communication (C1 or C2 level)

  • At least 1–3 years of freelancing or professional experience in ad operations, marketing coordination, virtual assistance, or executive assistance

  • Experience working inside Meta Ads Manager for ad uploads or campaign setup support

  • Strong attention to detail and ability to follow structured workflows

  • Highly organized with strong process management skills

  • Comfortable managing multiple operational tasks in a fast-paced eCommerce environment

  • Tech-savvy and confident in navigating multiple platforms and marketing tools

  • Reliable, proactive, and capable of working independently in a remote setup

Shift Schedule:

  • Monday to Friday, 9:00 AM – 5:00 PM (US PST/AEST)
