About This Role:

We are looking for an experienced, detail-oriented, and proactive Executive Assistant to support both sales operations and field marketing efforts for a growing team. This role focuses on high-level executive administration with additional sales and marketing operations responsibilities. You will manage outreach campaigns, maintain CRM records, organize travel, coordinate events, and help drive marketing initiatives.

This role is primarily remote but may require occasional travel and attendance at in-person meetings within Metro Manila once a physical office is established.

Key Responsibilities:

  • Coordinate emails, tasks, and calendars for sales and GTM leaders

  • Assist with outbound lead generation via LinkedIn and other marketing channels

  • Manage website lead qualification using platforms like Vector and Attio

  • Document sales meeting notes, agendas, and follow-ups

  • Maintain clean, up-to-date CRM records across tools (Salesforce, Attio, Apollo, ZoomInfo)

  • Research and evaluate conferences for sales and networking opportunities

  • Organize and coordinate travel logistics for conferences, events, and team meetings

  • Source venues and manage logistics for small-scale sales events like dinners and happy hours

  • Execute co-marketing and field sales activation plays

  • Collaborate with internal teams to ensure smooth operations

  • Update shared resources and process documentation

  • Track customer and partner activities using sales journals

  • CRM tools: Attio, Salesforce, Fireflies, Apollo, ZoomInfo

  • Travel & Event Booking Platforms

Qualifications:

  • At least 1-3 years of freelancing experience

  • At least 1-3  years of experience as an Executive Assistant, Operations Partner, Administrative Assistant, or in a similar operational/administrative role

  • Strong English communication skills (C1C2 proficiency)

  • Previous experience supporting sales, marketing, or GTM teams is a plus but not a must

  • Proficiency in CRM tools (Notion and Attio required)

  • Background in high-level executive administration or operations management

  • Highly organized, self-managed, and detail-oriented

  • Comfortable documenting activities, meetings, and playbooks

  • Ability to manage multiple priorities in a fast-paced environment

  • Willing to travel within Metro Manila for occasional events and team meetings

Shift Schedule:

  • Monday to Friday, flexible working hours with required availability for a daily stand-up between 9AM to 5PM US PST.
